**As of April 1, 2026, the project was awarded to Audio Visual Aids and Hermes Trading Co., Inc. dba Hermes Music but the awarded amount is not available.** The Pharr - San Juan - Alamo Independent School District is soliciting proposals for the Request for Proposals (RFP's) for A/V Production System for PSJA ISD Auditorium Catalogs, brand names, or manufacturer's references are descriptive only and indicate type and quality desired. Proposals of brands of like nature and quality will be considered. If proposing other than the referenced brands/model number, Proposer must provide the manufacturer, brand, or trade name, product number and provide complete descriptive information of product offered and include it with your submission. Question Deadline 02/10/2026 at 10:30 AM CT The District is seeking proposals for a turnkey auditorium audio/visual, broadcast, and production system, including all required equipment, installation, programming, testing, training, and warranty support. The system must support live events, theatrical productions, assemblies, and professional-grade multi-camera video production and streaming. All equipment and components specified in this RFP are intended to establish a minimum level of quality, performance, and functionality. Any brand names, model numbers, or manufacturer references included in this RFP are for descriptive purposes only and shall be considered "or approved equivalent." Proposers may submit equivalent products that meet or exceed the stated specifications, subject to District review and approval. 1. Video Projection and Display System The proposer shall provide and install a large-venue projection and display system suitable for a school auditorium. The system shall include: o Two (2) professional laser projectors rated at minimum 20,000 ANSI lumens, WUXGA resolution or better. o Long-throw interchangeable lenses capable of supporting throw ratios approximately 7:1 to 10:1. o Two (2) permanently installed electric projection screens, minimum 278 inches diagonal, with appropriate extra drop for auditorium mounting. o Four (4) commercial-grade flat panel displays, minimum 75 inches, 4K UHD resolution, rated for 24/7 operation, with anti-glare surfaces. Projectors and displays must support HDMI and professional AV signal transport and be suitable for educational and assembly use. 2. Video Switching, Control, and Wireless Presentation The proposer shall provide an integrated audiovisual switching, control, and wireless presentation system suitable for auditorium and instructional use. The system shall include, at a minimum: The system shall include a digital presentation matrix switcher capable of routing a minimum of 8 inputs by 12 outputs or 12 inputs by 8 outputs, supporting 4K/60 resolution, HDCP compliance, signal scaling, and seamless switching between sources. The system shall include an integrated control processor and a user control interface consisting of a minimum 10-inch tabletop or wall-mounted touchpanel to control video routing, display power, volume, and system presets. The system shall include a hardware-based wireless presentation system designed specifically for K-12 educational environments. The wireless presentation system shall: o Support native screen sharing from Windows, macOS, iOS, Android, and ChromeOS devices. o Allow screen sharing without requiring client software installation on user devices. o Support moderator or instructor control, including the ability to approve, deny, or switch presenters. o Support secure device authentication and encrypted wireless transmission. o Allow multiple devices to connect simultaneously. o Integrate with the room's AV switching system for presentation to projectors and displays. o Be suitable for auditorium-scale presentation use. The wireless presentation system shall be ScreenBeam 1000 EDU or approved equivalent. 3. Broadcast and Production System The proposer shall provide a professional broadcast production system capable of live switching, recording, and streaming. Minimum requirements: o A production switcher system capable of at least 44 video inputs, including minimum 16 SDI inputs. o Support for NDI, SDI, HDMI, and IP video workflows. o Integrated graphics, replay, and streaming capability. o Hardware and software licensing for a minimum of three (3) years of graphics/flow services. o Professional support and extended hardware warranty coverage totaling five (5) years. Cameras and Field Production Equipment The system shall include a multi-camera production package. Minimum requirements: o Six (6) professional camcorders supporting 4K acquisition, minimum 20x optical zoom, and high-frame-rate recording. o Six (6) professional tripods with fluid heads rated for broadcast cameras. o On-camera monitors, lens controls, mounting accessories, batteries, chargers, and cabling necessary for full operation. 5. Intercom and Wireless Video The proposer shall provide: o A full-duplex wireless intercom system supporting a minimum of 8 users. o Wireless HDMI/SDI video transmission systems capable of 4K signal transport with low latency. 6. Audio System The proposer shall provide a complete auditorium sound reinforcement system. Minimum requirements: o Digital signal processor with AEC and Dante networking, minimum 12x8 processing. o Digital mixing consoles, minimum 48 input channels, 96 kHz capable. o Dante audio I/O expansion for stage and wall-mounted connectivity. o Line array loudspeaker system appropriate for auditorium coverage, including flown subwoofers. o Powered stage monitors. o Distributed ceiling speakers for auxiliary coverage. o Power amplifiers suitable for both low-impedance and 70V operation. 7. Wireless Microphones The system shall include a large-scale wireless microphone solution. Minimum requirements: o At least 36 wireless microphone channels total. o Mix of handheld and bodypack transmitters. o Headworn condenser microphones for bodypack use. o Antenna distribution system with remote directional antennas. o Rechargeable battery systems and multi-bay chargers. 8. Racks, Networking, and Infrastructure The proposer shall provide: o Commercial AV equipment racks with front and rear doors and active ventilation. o Managed PoE++ network switches suitable for AV-over-IP and Dante audio. o Patch bays for SDI video routing. o All required cabling, connectors, mounting hardware, and accessories. 9. Installation, Programming, and Integration The proposer shall be responsible for: o Complete installation of all AV and broadcast systems. o Programming of AV control systems and broadcast equipment. o Coordination with district-provided electrical contractors for power and floor boxes. o System testing, commissioning, and documentation. 10. Training, Warranty, and Support The proposer shall include: o On-site training for district staff. o Minimum one-year standard support, with ext
