The intent is to contract for the purchase and installation of new carpet as per the specifications, terms, and conditions identified within the RFQ bid documents. Vendors must be registered with the DIR and prevailing wage is required. A copy of the Bid Guarantee (Check, Cashier Check, Certified Check, or Bidders Bond) must be submitted with bid documents electronically. The original bid bonds must be mailed to the provided address, and originals must be received within three business days of bid closing or the bid may be considered non-responsive. Bids submitted by mail will not be accepted. Online Q&A Online Q&A Yes Q&A Deadline 04/28/2026 2:00 PM (PDT) Project Overview This project consists of removing existing broadloom carpets and replacing it with modular carpet tiles (carpet squares) at the Laguna Treatment Plant, 4300 Llano Road, Santa Rosa, California, in the Administration office and field-verified locations. The estimated area is approximately 6,433 +/- square feet. The intent is to improve durability, ease of maintenance, and long-term flexibility for spot replacement while maintaining compatibility with the existing interior color palette. This is a public works project, prevailing wage and registration with the Department of Industrial Relation (DIR) is required. General Scope of Work The Contractor shall provide all labor, materials, equipment, supervision, and incidentals necessary to complete the work, including but not limited to the following: 1. Pre-Construction o Attend a mandatory field meeting with City staff prior to bid to review site conditions, access, phasing, and quantities. o Verify all measurements, existing conditions, transitions, furniture constraints, and floor penetrations (e.g., access covers). o Confirm proposed carpet tile selections with the City prior to procurement. 2. Demolition and Preparation o Remove and legally dispose of existing carpet and adhesive in designated areas. o Protect adjacent finishes, walls, furniture, and equipment during demolition. o Prepare substrate in accordance with carpet manufacturer requirements, including patching, leveling, and moisture mitigation as required. 3. Carpet Tile Installation o Furnish and install modular carpet tiles suitable for commercial office use. o Carpet tiles shall be installed using manufacturer-approved adhesive or installation system. o Installation shall include proper alignment, consistent tile orientation, and cltight seams. o All furniture, file cabinets, modular systems, and equipment within the project area shall be fully removed, relocated, or temporarily lifted by the Contractor to allow for complete wall-to-wall carpet installation. Installation around furniture is not acceptable. o Haworth cubicle systems may be temporarily lifted in place without full disassembly, where feasible, to allow carpet tile installation beneath the system. o Full disassembly of Haworth systems is not required unless necessary due to field conditions. o Contractor shall be responsible for protection, temporary support, lifting, and final placement of all systems and furniture. o Coordinate installation around floor access panels and penetrations so panels remain fully operable after installation. o Provide clean, durable transitions at doorways and adjacent floor finishes as required. 4. Material Requirements o Patcraft Logic 24 carpet tile or approved equal o Carpet tile selection shall be approved by the City prior to ordering. o Carpet tiles shall be multi-colored, neutral tones (e.g., grays and tans) that: Complement the existing interior color scheme. Minimize the visibility of traffic patterns and wear. Are appropriate for high-traffic office environments. o Provide approximately ten percent (10%) additional carpet tiles beyond installed quantities. Extra tiles shall be delivered, boxed, labeled, and turned over to the City for storage in the City warehouse for future spot replacement.
