Type of Service: The contractor shall provide semiannual, or as required, commercial vent hood fire suppression system services, repairs, and preventative maintenance for BEP cafeterias. Services must comply with Fire Department safety codes, and include inspections, testing, recharging systems and fire extinguishers, updating service tags, repairs such as fusible link replacement, nozzle cleaning, cylinder hydrostatic testing, or replacement of other parts. Services should be timely to minimize business interruptions and must include logistics planning, safety protocols, and coordination with the Business Enterprises Consultant (BEC) and BEP vendors as needed. Locations: Locations may change; the contractor will be notified through an amendment. Service Hours: Services are required five days a week, excluding holidays, between 7:00 a.m. to 5:00 p.m. Work outside these hours may be charged at higher rates with prior written authorization. Estimates: Estimates must be provided and authorized prior to services. Response Time: Normal service must commence within 24-48 hours of request; emergency services must be completed within 24 hours. Call Back Services: All work is under a 30-day warranty; call-backs for prior repairs under warranty are at the contractor’s cost. Notification: The contractor will be notified of required service locations and must coordinate scheduling. If the BEP vendor or designee is absent at the scheduled time, the contractor must contact the administrator for instructions. Verification of Arrival: Arrival and departure times must be verified by BEP vendor or staff, who must also be present during service. A signed work order must be left on site. Parts and Materials: Charges for parts and materials shall not exceed 40% above the contractor's wholesale costs, excluding tax. Only original manufacturer parts are allowed; used, refurbished, or rebuilt parts are not permitted. Removed parts must be left with the BEP vendor for inspection. The maximum charge per job is $2,000 unless approved for more. Freight Charges: Allowed for parts with proper documentation and receipts for amounts over $50. Only applicable costs are chargeable. Work Area: The contractor must keep the area clean and free of debris, avoid disruption to operations, remove tools daily, and is responsible for any damages or replacements at no cost to the State. Site cleanliness must be maintained throughout the project and upon completion. Adequate protection for all surfaces must be provided, and no items may be removed without approval.
