Question Deadline 06/22/2026 at 3:00 PM CT Any questions related to the IFB shall be submitted to Paul Feldmann, Purchasing Manager, at paul.feldmann@stcharlescitymo.gov Replacement of the internal display system at the St. Charles Convention Center. These specifications shall outline the scope of work required for removal and replacement of the Internal Digital Displays, locations highlighted on attached Exhibit 1. o The St. Charles Convention Center is seeking proposals from qualified vendors to provide a comprehensive digital signage and content management solution that enhances guest engagement, event communication, advertising opportunities, and operational efficiency throughout the facility. o The selected vendor will provide software, hardware, integration services, installation, support, training, and ongoing maintenance for a modernized digital display throughout convention center. o This project is intended to support a high-volume convention and event environment while providing scalable technology solutions capable of integrating with existing and future event management systems. o Project Objectives: o Modernize internal digital communications and guest-facing displays. o Improve attendee wayfinding and event information distribution. o Provide centralized cloud-based content management. o Integrate with event scheduling and management systems. o Enable advertising and sponsorship opportunities. o Deliver scalable, enterprise-grade digital signage infrastructure. o Improve operational efficiency through centralized administration. o Support dynamic multimedia content including video, social feeds, event schedules, weather, and announcements. o Provide long-term support, monitoring, and maintenance. II. Scope of Work: The vendor shall provide and install commercial-grade digital signage hardware including but not limited to: o Hardware Requirements: o 55-inch commercial displays o 65-inch commercial displays o 98-inch commercial displays o Wall mounting hardware o Built-In Media Players for each display o Associated display accessories o The current anticipated deployment includes approximately: o Twenty (20) 55-inch displays o Six (6) 65-inch displays Two (2) 98-inch displays Vendors may propose alternate display sizes and technologies if beneficial. All displays must be commercial-grade and rated for extended operational use. Installation & Configuration: o The vendor shall provide: o Complete hardware configuration o Software installation including interfacing with event software Currently using Momentus, Enterprise edition o Display mounting and installation All displays have electrical service All displays have a network connection, except, two (2) 65-inch displays will require network connectivity configuration to be added. See Exhibit 1, attached. o Device configuration o System testing o Commissioning o Staff training o Documentation o Vendor shall clearly identify any exclusions including: o Electrical work o Structured cabling o Network infrastructure o Internet service Analytics & Reporting o The solution should provide analytics capabilities including: o Display uptime monitoring o Content performance metrics o Audience engagement metrics o Advertising analytics o Remote diagnostics o Usage reporting Support & Maintenance o Vendors shall provide ongoing support services including: o Remote monitoring o Phone and email support o Software updates and patching o Hardware warranty support o Troubleshooting services Knowledge base access o Escalation procedures o Onsite support options o The proposal should include annual support pricing for a minimum three (3) year term. o The Convention Center will remain open during work. Bidder shall provide appropriate work zone signage and traffic control so that pedestrians can safely navigate to Convention Center during work. o Remove existing digital displays including any mounting hardware that on Exhibit 1, attached. o Convention Center will dispose of the old equipment o Bid prices shall assume all work to be completed during Contractor's normal working hours, with no allowance for overtime. o Convention Center expects to award contract prior to August 7, 2026. Bidder shall include estimated date to start and complete work if Notice to Proceed isissued. Convention Center staff shall work with awarded Bidder on final schedule o Bidder shall be responsible to field measure all areas of work to confirm turn-key project at Convention Center.
