Mandatory Pre-Bid Meeting A mandatory pre-bid meeting and site inspection shall be held as outlined below to answer any questions and explain details regarding the specifications and scope of work to be performed. This pre-bid meeting and site inspection will give prospective bidding contractors the opportunity to investigate and fully acquaint themselves with the conditions relating to the job so that they may fully understand the facilities, difficulties and restrictions attending the execution of the work. All bidders are required to attend the pre-bid meeting to have satisfied themselves as to work conditions, RFP specifications and requirements. A sign-in sheet will be available on the day of the pre-bid meeting which all attendees must sign in order to be considered for award. Scope of Work A. GENERAL: The work under this contract shall consist of furnishing all labor and materials for the general maintenance, preventative maintenance and repair (including emergency repair) of all Plumbing/HVAC equipment. The Contractor shall follow the operating and maintenance instructions which are furnished by the manufacturer of each piece of equipment, but in no case shall preventive maintenance be less than that which is described in the specifications below. All replacement parts should meet and/or exceed the original manufacturer's specifications. When replacing filters Contractor shall remove all replaced filters from site. Items and materials in specifications may be substituted with equal items with approval by the Associate Dean of Campus Operations and/or Building Maintenance Supervisor. B. General Maintenance, Preventative Maintenance and Repair a. Provide a qualified contractor technician to inspect all plumbing and heating mechanical systems for proper operation. Contractor shall have knowledge and experience with maintaining and repairing as needed to the following: a. Air Handlers b. Chilled Water Pumps c. Gas Water Heaters d. Electric Water Heaters e. Condensor Water Pumps f. Mini Splits g. Air Cooled Heat Pump h. MakeUp Air Units (MAU) i. Rooftop Air Units (RTU) j. Duct work k. Plumbing system l. Heating system m. Contractor shall have the ability to price, install and pipe new mechanical equipment if the existing equipment cannot be repaired. n. Contractor shall provide 24 hour emergency on call service o. All work shall be performed by a licensed craftsman and conduct themselves in a professional and workman like manner. (see Appendix J for Listing of Licenses, Certificates and Duties of Trade Services) b. Provide a qualified contractor technician to conduct Preventative Maintenance (PM) as outlined below. PM includes but is not limited to the following: a. Air Handlers: 1. Annually; a. Change belt; b. Check operation; c. Visually inspect electrical and mechanical; d. Grease part as required; e. One (1) of the four quarterly services listed below shall be conducted during the annual service; 2. Quarterly; a. Replace filter per manufacturer specifications using Standard Efficiency Pleated filters to the American National Standards Institute/American Society of Heating, Refrigerating, and AirConditioning Engineers (ANSI/ASHRAE) Standard 52.1 with rating of Minimum Efficiency Reporting Value (MERV) 10 or better. High efficiency 12" metal and carbon box filters should be changed when resistance measures 3 inches WG or the integrity of the filter requires replacement. (whichever comes first). College shall purchase and provide all filters. Contractor shall remove all replaced filters from site; b. Check operation; b. Chilled Water Pumps: 1. Annually; a. Check operation; b. Grease part as required; c. Gas Water Heaters: 1. Annually; a. Flush Tank; b. Clean Burner; c. Check operation ; d. Electric Water Heater: 1. Annually; a. Check for leaks; b. Flush Tank; c. Test temperature and pressure relief valve; d. Clean air intake vents; e. Check venting system; f. Check thermostat settings; e. Condensor Water Pumps: 1. Annually; a. Check operation; b. Grease part as required; f. Mini Splits: 1. Annually; a. Clean Consensor Coils; b. One (1) of the four quarterly services listed below shall be conducted during the annual service; 2. Quarterly; a. Wash and Clean Filters; b. Check operation; g. Air Cooled Heat Pump: 1. Twice Annually; a. Check operation; b. Clean Coil; h. MAU: 1. Annually; a. Change belt; b. Check operation; c. Visually inspect electrical and mechanical; d. Grease part as required; e. Clean condensing coil; f. One (1) of the four quarterly services listed below shall be conducted during the annual service; 2. Quarterly; a. Replace filter; b. Check operation; i. RTU: 1. Quarterly; a. Replace filter; b. Check operation; c. Reporting: The Contractor shall be required to meet with the Director of Facilities or designee once a month for a minimum of one (1) hour. In addition the Contractor may be required to meet with the Director of Facilities or designee when requested. Any service work performed on any equipment or systems must be documented on a log provided by the Contractor and pertaining to that particular equipment or system as follows: o Description of equipment of system o Date of work o Description of work o Operator's name All logs (paper or electronic) are and shall become property of Gateway and shall be maintained at the campus maintenance office.
