Site work for a water / sewer project in Holly Springs, North Carolina. Completed plans call for site work for a water / sewer project.

Project has been Awarded but Award amount was not confirmed.** Respondents must submit one (1) copies and one (1) designated Original of their proposals (2 total). Copies of this Request for Proposal or requests for specific information should be directed in writing to: Patty Dressen, Assistant Finance Director EMAIL: patty.dressen@hollvspringsnc.us Questions will be accepted until 2:00 p.m. on Thursday, May 30, 2019, to ensure all parties have adequate time to review the answers. The Vendor will replace the existing water meter lids with new meter lids, in accordance with the Town's Engineering Department standard detail number HS634 (Exhibit A). The lid must have the following. o The reclaim meter lids must fit existing 3/4" water meter box dimensions (MBX-1 style) per Town of Holly Springs Standard Detail Number HS634. Lid material must be high density polyethylene (HDPE). o Dimensions listed on Exhibit A is in a variance of +/- 1/8". o Lid must be black. o Skid resistance surface. o Option to lock. The existing cast iron lids shall be collected at time replacement by the vendor and returned to the Public Works Department and placed into the scrap metal bin. The Vendor will replace the existing reclaim water meter lids, in accordance with the Town's Engineering Department Standard Detail Number HS1104 (Exhibit B) o The reclaim meter lids must fit existing 3/4" reclaim meter box dimensions per Town of Holly Springs Standard Detail Number HS1104. We no longer require the 4x6 cast iron reader due to the specific cover is no longer manufactured. o Dimensions listed on Exhibit B is in a variance of +/- 1/8". o Lid must be purple. Similar to Pantone 522C. o Lid must be stamped with "RECLAIM WATER DO NOT DRINK" o Skid resistance surface. The existing reclaim lids shall be collected at time replacement by the vendor and disposed of by properly by the vendor. The Vendor shall have on-hand sufficient personnel, proper equipment, and machinery of ample capacity to facilitate the Work. The meters shall be installed in a neat and workmanlike manner by technicians who have been trained and informed of the technical and procedural requirements of the Work. For an installation which requires extra work or is non-standard, the Vendor may consult Town personnel for direction and may not perform extra work unless authorized. All vehicles used by the Vendor shall, at all times, display a Vendor decal of the Company's name. Vendor shall conduct installations by route or group of routes. Route groups should be based on the existing reading routes. The Town retains the right to prioritize neighborhoods, or to reorganize priorities, both before the Work begins, and during the Work. Unless approved in writing by the Town, the Vendor shall complete 100 percent of the installations in one route or group of routes before commencing installation on the next route. Exceptions to the requirement to complete an installation may be granted by the Town. The Town and the Vendor shall establish an overall schedule for installation of the entire Work. On the first work day of each week, the Vendor will provide the Town an updated schedule of where work is planned for the next 2 weeks. Vendor shall propose normal work hours, which must be approved by the Town but shall, in no case, extend before 7:00am or after 7:00pm Monday through Saturday. The Vendor will be responsible for providing the Town with weekly status reports detailing the number of installations performed, problems encountered, work remaining and any schedule adjustments. The quantities shown below are estimates only and are not to be construed as a commitment by the Town to purchase installation for these amounts. The Town reserves the right to increase or decrease quantities depending on need. Price quoted shall remain effective regardless of quantity installed. Meters - Estimated Total Quantity Water Meter Lids - 15,000 Reclaim Water Meter Lids - 1,000 Keys for Water Meter Lids - 100 The Town will review each proposal and schedule interviews with one or more Vendors, once responses are received by the Town. A single respondent will be selected and negotiations will commence in accordance with Town policy. Town staff will then forward a recommendation to the Town Council for approval.
