The CITY OF FREMONT (hereinafter "City") hereby requests proposals to upgrade the existing Conference Room Audio/Visual (A/V) system. Existing equipment to be retained to the extent that the system will function reliably; however, the existing displays and projector will be decommissioned. The proposer shall provide a scope of service which details the work to achieve a turn-key A/V system and to provide training to designated City staff. Potential Proposers who attend the walk-thru will be required to furnish and properly don their own protective gear (the use of a face mask at a minimum) as well as follow all social distancing requirements per the latest COVID-19 Alameda County Guidance. Given the current environment, this may change. If so, potential bidders will be advised by the issue of an addendum. walk-thru of the Conference Room. Attendance at the mandatory walk-thru is required to submit a bid proposal. Attendance is limited to no more than two (2) personnel from each company. This will be your opportunity to ask questions of the project prior to submitting a proposal. The City is seeking Proposals from qualified vendors to upgrade the existing Conference Room Audio/Visual system. The existing displays and projector will be decommissioned, and any existing equipment is to be retained to the extent that the system will function reliably. A new main Owner-Furnished Equipment (OFE) display, and two secondary displays will be mounted by the City as part of the newly upgrade A/V system. The existing video switcher and HDMI extension devices will need to be replaced. Presentation sources desired are: PC, AppleTV, Cable TV, and lectern laptop HDMI. Any source should be able to route to the displays. Two (2) USB PTZ (Zoom compatible) cameras are to be installed (one at the front of the classroom and one on the ceiling in the middle of the room. The cameras should be controlled by the Logitech camera remote.A new audio processor to be installed with the ability to enable POTS phone conferencing. Two new in-ceiling microphones to be installed to pick up participant audio in the room. A new wireless microphone receiver to be installed, with separate handheld and lavalier transmitters. Only one wireless mic can be used at a time. Wireless microphone audio to feed the PC conference system and in-ceiling speakers. A lectern gooseneck microphone should also feed speakers and the PC. Ceiling microphones to feed the PC. The control system shall be upgraded as the existing system is not supported by the manufacturer. A new touch panel to be installed and used as the primary control surface for the system. Zoom functionality to be controlled from the touch panel. All head-end equipment to be installed in the lectern must include rack rails and existing power distribution equipment.
