The City will notify the bidder by means of a work order of any work needing to be complete. Work orders will identify the requested repair locations, the anticipated type of repair or maintenance needed based on the bid items, and the type of work order. All work order communications will be conducted through the City's Traffic Engineering and Operations Division Representative or Project Inspector as stated in the following conditions. Types of Work Orders An Emergency Work Order is one that needs quick resolution due to the safety of the traveling public. Examples include but are not limited to repairing a damaged electrical service or conduit to restore lighting for a significant section of dark roadway or removing a damaged light pole blocking roadway traffic. The City assumes the awarded Contractor will have quick access to all necessary supplies to correct an issue of this type. A Maintenance Work Order is one that addresses most outages due to normal life of equipment. Examples include but are not limited to preventive maintenance or bulb / ballast replacements on high mast structures, roadway light poles, bridge lighting, and underpass / wall pack lighting. A Project Work Order is one that addresses the replacement / upgrade of a large quantity of material or replacement of damaged light poles and foundations from traffic accidents. An example of this would be the upgrade of a roadway segment or bridge lighting from HPS to LED. For material upgrades, the delivery date for all material needed should be submitted to the City within 10 calendar days from the work order date. Upon the City notifying the Bidder via a work order, the bidder shall mobilize and begin work within: 24 hours for an Emergency Work Order Seven (7) calendar days for Maintenance Work Order Fourteen (14) calendar days from the material delivery date for a Project Work Order. Proof of the material delivery date should be submitted to the City within 10 calendar days from the date of work order.
