Interested respondents can obtain an RFP packet from Xenia Public Service Department, 966 Towler Road, Xenia, Ohio, (937) 376-7265 or by e-mailing lwaters@ci.xenia.oh.us. If the respondent requests the packet be mailed or delivered by courier, the respondent shall be responsible for any costs associated with the respondent's chosen method of delivery. Proposals shall be delivered to the office of the City Clerk, City Administration Building, 107 E. Main Street, Xenia, Ohio, 45385, and the outside of the sealed proposal shall be clearly marked with "City of Xenia Water Distribution and Sewer Collection Supplies Proposal 2022." Proposals are to be submitted in duplicate. Proposals sent by fax or electronic format (email) will not be accepted. Proposals will not be considered responsive unless submitted in accordance with the Instructions, Specifications, General Conditions, and other materials contained in the RFP packet. The Respondent shall carefully examine the information contained in the RFP packet before submitting a proposal. The submission of a proposal shall be considered evidence that the respondent made such an examination and is satisfied as to the contract requirements. The City may enter into a single contract for the furnishing and delivery of the supplies called for under this RFP or may award multiple contracts to multiple Respondents, as it is the City's intent to award contracts per supply based on submitted prices. The City, in its sole discretion, shall determine which proposal represents lowest and best unit price. The lowest cost, while a consideration, will not exclusively govern the contract award. The award shall be made from all considerations, including which proposal best meets the scope and intent of the RFP and is in the best interests of the City. The City reserves the right to waive any formalities, discrepancies or irregularities in the proposals, or to negotiate any variance from the RFP specifications, or to reject and all proposals. No proposal may be withdrawn after the scheduled closing time for receipt of proposals except upon the authorization of the City Manager. Brent Merriman City Manager
