Polytechnique Montreal: Founded in 1873, the Corporation of the École Polytechnique de Montréal (hereinafter referred to as "POLYTECHNIQUE") is one of the most important engineering teaching and research establishments in Canada and remains the first in Quebec in terms of the number of its students and the scope of its research activity. It has 37 administrative units divided into seven departments and 30 services. Departments, services and staff are distributed mainly in three buildings located on the campus of the Université de Montréal. POLYTECHNIQUE is a world-class scientific and technological center that is at the origin of important discoveries in all spheres of engineering and technology and its achievements are disseminated throughout the world. It provides teaching in several engineering specialties and conducts nearly a quarter of university research in these fields in Quebec. Its some 60 research units and its faculty made up of world-renowned experts allow it to pursue some of the most intense research activities in Canada. The first Canadian university buildings to receive LEED GOLD certification, POLYTECHNIQUE's Lassonde pavilions have become a reference in terms of sustainable construction. POLYTECHNIQUE in brief: Nearly 8,600 students (28% women) 2,200 graduate students More than 120 programs 1,630 diplomas awarded for the year 2017-2018 50,000 graduates since 1873 260 teachers 1,525 employees Annual budget of $215 million Annual research budget of $81 million 16 industrial chairs (including 9 from NSERC) 21 Canada Research Chairs 1 Canada Excellence Research Chair 103 technologies in development 56 patents held 25 active spin-off companies Objective of the call for tenders The purpose of this call for tenders is to enter into a contract to order for the acquisition, assembly and installation of administrative furniture to meet the needs for replacement of furniture, reorganization of space or furnishing new space within all Polytechnique pavilions and addresses. Polytechnique Montréal is looking for suppliers who can provide durable furniture of institutional quality. Batches This contract will be awarded according to the following two lots: Lot MOB.01 - Office furniture Lot MOB.02 - Collaboration furniture Level of services required under this contract The role of the TENDERER consists of advising Polytechnique Montréal's internal clientele regarding the choice of furniture and effectively managing the delivery, installation of furniture and after-sales service. The TENDERER must in particular, without additional costs: Advise, seek solutions and propose products adapted to the environment and the needs of Polytechnique Montréal and which harmonize with the furniture already in place; Prepare, at the request of internal customers, bids in accordance with the price and conditions of this contract; Submit timelines for each order, specifying each of the steps and activities of the process; Rigorous monitoring of orders, production deadlines and the planning of deliveries and installations; Efficient and fast handling of issues related to orders; Respond within 24-48 hours to any email request from an internal customer (excluding automatic email receipt responses); Ensure a return call within 24 hours to ensure prompt service; Optimize and standardize layouts taking into account the inventory of existing furniture; At all times, identify and carry out its own site surveys when access to the spaces is possible and update its drawing bases in order to avoid rework due to probable discrepancies between the plans and specifications of the Project Professionals and the conditions. and to guarantee on its drawings, in particular the accuracy of the services (AV, electricity, data) in connection with the installations of its Mandate; Taking measurements and recording of the space to be fitted out, proposal of a layout plan, all without obligation to buy; Develop computerized plans and project specifications in three (3) dimensions when required; Site visit and coordination of facilities; As needed, participation in all coordination planning meetings convened by Polytechnique Montréal; Inspection of the space before, during and after installation; Coordination of delivery, installation and recovery of furniture with the manager; Site visit after installation in order to ensure the conformity of the products and produce a list of deficiencies with follow-up of corrective actions; If necessary, training on the use of new furniture; Management of guarantees (applicable even after expiry of the Contract); Provide a catalog type sheet for each product in the Contract (technical specifications, photos, prices, etc.); Provide a complete material library of product finish choices to the Contract, including a quarterly update; Provide a maintenance sheet for each product to the Contract; Report to Polytechnique Montréal any problem or element likely to compromise the functional aspect, the cost, the Schedule of orders, the quality of the content and offer suggestions for solutions to these problems. Qualifications of the bidder sought by Polytechnique MONTRÉAL Polytechnique Montréal is looking for a successful bidder who has the following qualities: Compliance with delivery times: The successful bidder must respect the delivery time indicated in the Price Schedule. The successful bidder is proactive and informs Polytechnique Montréal in advance of any delay. Product quality : The quality of the furniture delivered during the contract meets the expectations expressed in the Technical specifications and the Polytechnique Montréal descriptive sheets. Returns of goods for quality reasons are kept to a very low level. Service quality : The contractor meets the expectations expressed in clause 1.05 of this document (Level of services required under this contract). All of these elements will be evaluated, during the mandate, during the performance evaluation sessions provided for in clause 11.05 and Appendix 11.05 of the Contract document.
