PURPOSE:
The Virginia Department of Transportation (herein referred to as "VDOT") is soliciting bids from qualified firms to establish
a renewable term contract to furnish janitorial services for the Bedford Residency in Bedford, VA. The Residency is located
at 2022 East Lynchburg Salem Turnpike, Bedford, VA 24523, approximately one mile east of the City of Bedford and about
20 miles west of Lynchburg Virginia. Services are for the Residency Office consisting of three floors with a total area of 4,482
square feet and the Residency Shop with a total area of 400 square feet.
PERIOD OF CONTRACT: Contract period will be for one (1) year, with beginning date to be determined at time of award.
There is an option for four (4) consecutive one (1) year renewals. QUESTIONS REGARDING THIS INVITATION FOR BID:
Any questions regarding this invitation for bid shall be addressed to Patty Harvey at Patty.Harvey@VDOT.virginia.gov. The
issuing office shall determine whether any addendum should be issued as a result of any questions or other matters raised.
Provide questions no later than 5:00 PM five days prior to the close of the IFB. SCOPE OF WORK: The contractor shall furnish all labor, supervision, equipment, transportation, tools, materials and
supplies as necessary, to satisfactorily perform the janitorial services within the Bedford Residency Office building and
the Bedford Shop as specified in the detailed parameters set forth in this solicitation. Location of the Bedford Residency
is 2022 E Lynchburg Salem Turnpike, Bedford, VA, 24523. All work performed under this contract shall be under the
direction of the VDOT Contract Administrator or Designee. Services are for the Residency Office consisting of three
floors with a total area of 4,482 square feet and the Residency Shop with a total area of 400 square feet.
1. FREQUENCY: The janitorial services for the Bedford Residency Office shall be performed 5 days a week, Monday
through Friday, services for the Bedford Shop shall be performed each week on Tuesday and Friday. Contractor's
personnel shall not arrive to begin services prior to 5:00pm and all work shall be completed by 10:00pm, unless
otherwise approved in writing by the Contract Administrator. No work shall be performed on Saturday or Sunday,
or State Holidays unless specifically approved in writing by the Contract Administrator or designee.
2. STATE HOLIDAYS: State observed holidays include, but are not limited to, New Years Day, Martin Luther King,
Jr. Day, President's Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Columbus/Yorktown Victory
Day, Election Day, Veteran's Day, Thanksgiving Day, Day after Thanksgiving, and Christmas Day.
Note: If a State Holiday falls on any of the dates of service, contractor may substitute an alternative weekday (or a
Saturday) to meet the minimum required days of service. The change in cleaning day must be pre-approved in writing by the VDOT Contract Administrator.
The purpose of this conference is to allow
potential bidders an opportunity to present questions and obtain clarification relative to any facet of this solicitation.
Due to the importance of all bidders having a clear understanding of the specifications/scope of work and requirements of this
solicitation, participation at this pre-bid conference will be a prerequisite for submitting a bid. Bids will only be accepted from
those bidders who are represented at this prebid conference. No one will be admitted after 10:35 AM EST.
