PURPOSE: The purpose and intent of this Invitation for Bid (IFB) is to solicit bids from one or more qualified source(s) to furnish and install Verkada Security Camera Systems to include but not limited to training of staff on the accompanied software for Prince William County Schools (PWCS). Work will be completed in accordance with the scope of contract, terms, and conditions stated therein. 2. BACKGROUND: PWCS is located 35 miles southwest of Washington, D.C., and 80 miles north of Richmond, Virginia. PWCS encompasses 348 square miles and stretches from the Potomac River to the Bull Run Mountains. PWCS enrolment on September 30, 2020, was 89,076 pupils, making it the second largest of 138 school divisions in the Commonwealth of Virginia. The School Division is growing at the rate of more than 1,000 students per year. There are currently 61 elementary schools (Rosemary Lewis Elementary School in FY 2023), 16 middle schools, 13 high schools, 3 traditional schools, and 2 non-traditional schools. Currently PWCS has Verkada cameras installed in approximately 20 schools. 3. CONTRACT TERM AND RENEWAL: The initial term of this contract shall be from the date of award to October 31, 2027, with the option to renew for one (1) additional 5-year period, upon mutual written consent of the parties to the contract. Proposed prices shall remain firm for the first year of the initial five (5) year term of the contract. Price adjustments shall be submitted annually, once per year, in writing, for PWCS review no later than ninety (90) days prior to July 1st. All modifications shall be issued by a written contract modification by PWCS upon approval. SCOPE OF CONTRACT: PWCS is committed to funding the replacement of school security camera systems with current technology. PWCS has identified the Verkada camera system with selected camera models for installation in schools. PWCS anticipates completing this project for approximately 38 elementary, 14 middle, and 6 high schools over two years using multiple vendors, starting on or about October 17, 2022. Schools and facilities will be allotted a base amount and may choose to fund additional cameras at the school's expense. 5.1. EQUIPMENT AND INSTALLATION REQUIREMENTS: Bidders shall indicate prices for only the identified manufacturer camera models noted. Additional camera models may be added due to discontinuation of a model, or a model added to meet a specific need, both shall require the written approval of one of the Technical Points of Contact noted.
