Building Lobby Modernization Project The purpose for this Request for Information (RFI) includes, but is not limited to, collecting market information to better understand best practices about an electronic visitor management system (VMS) solution The information gathered may be used to assist the State in developing program strategy and possibly developing an RFP. 1. Program Overview The State of Michigan (SOM), Department of Technology, Management & Budget (DTMB) seeks to modernize DTMB managed facility public spaces by incorporating network accessible devices to support the security guards' functions and to assist in SOM agencies' efforts in support their clientele. Assistance to agencies will occur by efficiently managing guests through an enterprise class electronic visitor management system (VMS) solution. The system shall provide the onsite security staff with software tools to efficiently manage visitors within DTMB managed facilities. Further, the intent of this project is to streamline communications regarding visitors and emergency notifications with all SOM agencies that our security guards support. Finally, this modernization will allow the process of sharing security alerts and notifications between security staff by eliminating paper traffic and moving our communications and alerts to the electronic systems. We desire a complete solution and seek a vendor who has experience delivering complete solutions. 2. Requirements The solution must meet the following general requirements: o Leverage the latest technologies to include but not be limited to internet registration, smart device interaction, etc. o Capable of reading a driver's license, capturing a photo and printing a photo ID visitor badge that self expires/voids after a predetermined time of day. o Microsoft compatible (Active Directory integration and Office 365) o Client/server or Web based solution with a centralized database storage and a retrieval system o Internet pre-registration o Watch list integration and creation o Ability to produce a QR and/or Barcode on visitor badge o Ability to export all visitor data o Compatible with commercially available "off the shelf" badge/label printers o Allow for customizable user interface, badge templates and email notifications o Provide "real time" visitor status o Issue alerts and allow for flagging of visitors (i.e., banned visitor, restricted access, etc.) o End user report functionality o Support batch printing of visitor badges o Implementation support and end user training o End user support during standard business hours o Meet SOM cybersecurity standards and policies. The State has established Information Technology (IT) Policies, Standards and Procedures (PSP's) to protect IT resources under the authority outlined in the overarching State 1305.00 Enterprise IT Policy. In no case will the safeguards of Contractor's data privacy and information security program be less stringent than the safeguards used by the State, and Contractor must at all times comply with all applicable public and non-public State IT policies and standards, of which the publicly available ones are online o Vendor must work with the State of Michigan, Department of Technology, Management and Budget to obtain an Authority to Operate prior to final implementation at all MCS work sites. What additional assets, tools, or expertise would your organization request from the State of Michigan 8. Please advise how your solution can meet the requirements listed on the previous page. Please advise if there are any requirements above that your solution meets out of the box versus would require customization. Please advise if there are any requirements your system cannot meet. 9. Please provide the pricing structure and estimated including: a. Implementation Costs b. Annual subscription or licensing costs c. Hosting costs d. Annual maintenance costs e.
