PURPOSE: The Virginia Department of Transportation (herein referred to as "VDOT") is soliciting bids from qualified firms to furnish and install Overhead Bay Doors with controllers, Raynor TC-200 or equivalent at the Hanging Rock Area Headquarters lot, 1541 Thompson Memorial Drive, Salem, VA 24153, per specifications contained herein. ION FOR BID: Any questions regarding this invitation for bid shall be addressed to Michele Thompson at michele.thompson@vdot.virginia.gov . The issuing office shall determine whether any addendum should be issued as a result of any questions or other matters raised. III. GENERAL: For the purpose of clarification, each firm submitting a Bid is referred to as a "Bidder" and the Bidder awarded the contract to supply the services is referred to as a "Contractor". Virginia Department of Transportation is referred to as "Department" or as "VDOT", and "Representative" refers to the VDOT Contract Administrator who will be administering the contract. This Solicitation states the instructions for submitting bids, the procedure and criteria by which a contract may be awarded, and the contractual terms which will exclusively govern the contract between VDOT and the Contractor. IV. SPECIFICATIONS AND REQUIREMENTS: NOTE: Bidder shall include within their bid response the estimated lead time for delivery of the doors from manufacturer/dealer. If not included with the bid, VDOT will request and bidder shall supply within two (2) business days. Failure to respond may be cause for bid to be deemed non-responsive. A. Specifications: Contractor shall provide all necessary labor, supervision, equipment, tools, parts, materials, supplies, hardware, accessories and incidentals necessary to remove existing doors, furnish and completely install two (2) new Overhead Bay Doors with electric operators, and accessories. The door shall be a Raynor TC-200, or equivalent. 1. Doors utilizing elongation springs, cables, straps, roller wheels or belt materials will not be accepted. 2. Doors shall be: a. Approximately 12'2" wide x 12'0" high to fit existing opening. An opportunity to measure and verify opening size, dimensions, tolerances and installation conditions will be provided at the pre-bid conference. b. Two-sided impact resistant, steel design with expanded polystyrene insulation. Specifications and Standards: All work shall be accomplished in compliance with all applicable federal, state and local laws, ordinances, rules, regulations, manufacturer's recommended procedures, industry standards and codes including OSHA, VOSH Standards and the Virginia Uniform Statewide Building Code issued by the Department of' Housing and Community Development on the date of the purchase order. All work performed under this contract shall be done in a manner that will not adversely affect the integrity of the building's structural, mechanical, electrical, fire protection and life safety systems or any other building features that will overload or render useless any portion of the facility. C. Bid Price: Bid shall be in the form of a firm fixed price for the items listed, herein. The bid price shall be for the complete units ready for the Commonwealth's use and shall include removing and disposing of all current equipment/parts/doors sections, etc., assembling and installing the new doors, and performing any tests required to ensure fully functional doors at the end of the service. Bid price shall be the total price for both doors that includes, but is not limited to all labor, equipment, materials, hardware, transportation (trip charges), freight, disposal fees, supplies and incidentals. No additional charges will be paid. 1. Product Information: The bidder shall clearly and specifically identify the product being offered and enclose complete and detailed descriptive literature, catalo cuts and specifications with the bid to enable the Commonwealth to determine if the product offered meets the requirements of the solicitation. If not included with the bid, bidder shall forward to VDOT within two (2) days of request for the information. Failure to do so may cause the bid to be considered non-responsive. 2. Name of Manufacturer and Shipping Point: Each bidder shall supply in the space provided on Attachment A the name and address of the manufacturer of each item offered and the shipping point. Form should be uploaded as an attachment with your bid. If form is not uploaded, VDOT will request the documentation and bidder shall supply information within two (2) calendar day. Failure to supply information may be cause for bid to be determined non-responsive. *The list of planholders and/or interested bidders is not being tracked by the stakeholders involved with this project.
