Nash County is seeking RFP's to obtain fixed yearly pricing from firms specializing in service and maintenance of heating, ventilation, and air conditioning systems. The work will extend over various facilities and equipment as listed in Exhibit A & B of the RFP covering County buildings and complexes. This yearly contract includes a scope of work listed as Exhibit C, in the RFP documents. Preventative maintenance tasks not listed in Exhibit C but required to maintain appropriate function and energy efficiency shall be performed at the contractors expense whether listed in Exhibit C or not. Exhibit C shall be used as a guide and incorporates the County's best determination of the work to be done. The contractor shall examine the proposed work and review what is needed to perform the work to comply with what is set out in this document. Proposal should include all the necessary equipment, materials, and skilled supervision to complete the service in a professional manner. Nash County reserves the right to award this contract to a single contractor with or without the various alternates or some deletions from the base bid depending on the proposals received All bids and proposals shall conform to the requirements outlined in Section 3 as provided below and in the "Master Service Agreement" in accordance with the applicable specifications scope of work prescribed by Nash County, who hereinafter shall be referred to as "Owner". The contractor shall notify Nash County Purchasing Officer of their holding of RFP documents a minimum of 24 hours prior to the due date/time, in order for the contractor to be registered and for Owner to provide contractor with any addendum issued. Guaranteed maximum yearly price including supervision, equipment, materials, labor, tax, and delivery must be provided in all bids. This Agreement embodies all the representations, rights, duties, and obligations of the parties. Any prior oral or written agreement not embodied herein shall not be binding upon or endure to the benefit of any of the parties. Owner may institute changes or modifications to the specifications and will notify all participants registered by an addendum. Owner reserves the right to reject any and all responses received in response to a Request for Proposal as determined to be in the best interests of the Owner. Contracts awarded pursuant to the provisions of this section will not be awarded solely on price, but reference evaluation as well. The Contract will be awarded to the Most Advantageous Respondent(s). Contract term will be three (3) years. Owner has option to extend contract by two (2), one (1) year terms. Contractor to provide a background check for all employees. Certain facilities may require a more stringent background check by the Nash County Sheriff's Office.
