The Fayette County Board of Education (Owner) is seeking bids for qualified lawn mowing services for all Fayette County Public School facilities, and other properties listed in this bid package for the 2023 mowing season. This specification establishes the minimum requirements for lawn care service expected by the owner. Any preceding specifications for Mowing from the years past are null and void and do not apply to this requested service. Bidders should carefully read all sections of these specifications. Any questions concerning these specifications are to be submitted to Mike Kee (Maintenance Director) via email at mike.kee@fcsk12.net or by phone at 901- 465-5265 ext 2103. It is the bidder's responsibility to assure that his/her bid is delivered to the proper place of the bid opening. Bids, which for any reason are not delivered, will not be considered. Bids submitted by email, facsimile machine, or telephone will not be accepted. Each bidder is required before submitting their bid to carefully and thoroughly examine the mowing specifications. Bidders are encouraged to completely familiarize themselves with all the terms and conditions. Bidders are not allowed to modify their bids after opening time and date. Bid files may be examined during normal work hours after the opening in the procurement office by appointment. It is the responsibility of the bidder to survey, and become familiar with, each school campus and grounds that they intend to bid on, there will not be a tour of the school grounds or propertys. The contractor will provide all equipment required to complete the work as specified. The Owners expectations are for high quality, neat, and clean appearance to the finished product. Safety measures must be at their highest levels to ensure staff, student, and visitor safety when someone is present on the grounds when school is in session or other times when it is not. No mowing or associated activity will take place during the dates and/or times identified by Fayette County Public Schools as TCAP testing or other testing times designated. Contractor will be given sufficient notice of these test dates. The contractor will be required to correct unsatisfactory work within 24hrs of notification. Fayette County Board of Education policies are to be followed at all times when contractors and their employees are on board owned properties. The contractor will be responsible for the repair or replacement of any damages caused to the Board property or private property, including vehicles on Board property, immediately at the Contractors expense. Any damages must be reported immediately Pay request The contractor is to submit an invoice for each school only after all work including trimming and clean up is completed. The invoice must include the date and amount of pay requested per school with the name address on the invoice. Lawns must be cut approximately every 2 weeks, the Maintenance Director will control when the lawns need cutting due to weather. The grounds to be maintained will be all the general purpose lawn areas within the property lines or boundaries of the school campuses. Each mowing service will include grounds detail work i.e. string trimming, cleaning walkways and entrances, along curbs, and removing all debris created during operation. Specific areas and duties include; 1. Mowing and trimming around the buildings', including outbuildings(storage buildings),portableclassrooms,parkinglotislands)playgrounds(includingplaygroundequipmen t),fencing,utilitypoles,theperimeterofballfields(football,baseball,softball,soccer,andassociate dpracticefields),parkinglots and drives,sidewalks,dumpsters,trees,shrubs,flowebeds,ditches,creeks, signs, school yard signs, areas inside fenced in electrical and HVAC units and equipment. 2. String trimming and chemical spraying of weeds and grass growing through cracks in concrete sidewalks and asphaltic pavement. These areas are to be maintained throughout the growing season. Weeds and grass between cracks in concrete and areas where asphalt is will not be tolerated and will be enforced. 3. After mowing is completed the contractor is required to remove all grass trimmings and clippings from all the sidewalk areas, along curbs, driveway drains and entrance areas around the schools. The contractor should always whenever possible discharge grass away from the building and any HVAC equipment. Special attention should be given to the front entrance areas of all schools. 4. Spraying for weeds in inaccessible areas is to be administered at the Maintenance director's discretion and is the responsibility of the contractor. Spray will not exceed more than 4inches of width around the area being sprayed. Spray will not be administered at such times as to not endanger students, staff, and visitors. Liability for the spraying of weeds will be the sole responsibility of the contractor. 5. Maintenance of vegetation around the retention ponds and lagoons must be provided throughout the growing season. 6. The contractor must keep the inside area of all fences around playground equipment weed and grass free. The areas between the plastic liners and fences are part of this. Areas outside the fences around playground equipment are also part of the responsibility. The Fayette County Board of Education is seeking bids for qualified lawn mowing services for all Fayette County Public Schools for the 2023 mowing season.
