Each October the Vendor will contact the Village to set up times to perform the required annual preventative maintenance. The following tasks will be performed as they apply: a. Test and inspect the door and all its components, the operator and all safety equipment for proper operation. Include items that may be missing from the list below. b. Inspect all track, rollers, hinges, cables, door panels, drums, shafts, couplings, operator drive chain/belt, clutch, electrical connections, reversing switches/relays, safety devices, remote receiver and weather-stripping/seals. If a rolling door- also include the guides, hood, slats, end locks, bearings and weather seals. c. Lubricate, tighten and adjust as needed all spring assemblies, coupling, bearings, hinges, rollers, drum, cables, tracks, mounting hardware, operator, operator chain, sprockets, clutch, limits, brakes, drawbar tracks & arms, and check the gear box oil level. If a rolling door- also include the guides, end locks, hood anchor bolts, bell-mouths, counterbalance springs, operator limit switches, break solenoid and disconnect. Any additional work will be performed on an as needed basis to repair broken or worn parts. This work will be performed on a time and materials basis based on the prices outlined in Attachment B. The Vendor shall provide the Village with a proposal for the cost of the repair prior to the work being performed. The Village of Northbrook is accepting bids for annual overhead door maintenance services at eight (8) municipal owned facilities. All proposals for the work shall be made on the blank Contract/Proposal forms attached to this Request for Proposals and shall be complete with a price for each and every item named in the Schedule of Prices section of the Contract/Proposal form. All proposals must be signed by an authorized official. Proposals that contain omissions, erasures, alterations, or additions not called for, conditional or alternate bids unless called for, or that contain irregularities of any kind may be rejected. Owner reserves the right to make clarifications, corrections, or changes in this Request for Proposals at any time prior to the time proposals are opened. All bidders or prospective bidders will be informed of said clarifications, corrections or changes. Each proposal shall be submitted in a sealed envelope plainly marked with the title of the contract and bidder's full legal name and shall be addressed and delivered to the place and before the time set forth above. Proposals may be delivered by mail or in person. Proposals received after the time specified above will be returned unopened. Proposals will be publicly opened and read at the time and place specified above. Bidders, their authorized agents, and interested parties are invited to be present. No proposal shall be withdrawn for a period of 45 days after the opening of any proposal. Proposals submitted are offers only and the decisions to accept or reject is a function of quality, reliability, capability, reputation, and expertise of the bidders. Owner reserves the right to accept the proposal that is, in its judgment, the best and most favorable to the interests of Owner and to the public; to reject the low price proposal; to accept any item of any proposal; to reject any and all proposals; and to waive irregularities and informalities in any proposal submitted or in the request for proposal process; provided, however, the waiver of any prior defect or informality shall not be considered a waiver of any future or similar defect or informality. Bidders should not rely upon, or anticipate, such waivers in submitting their proposal. The owner reserves the right to award the base bid and alternate bid proposals to separate contractors. Upon acceptance of the successful Bidder's proposal by Owner, the successful Bidder's proposal, together with Owner's notification of acceptance in the form attached to this Request for Proposals, shall become the contract for the Work. All prices and other terms stated in this Contract/Proposal are firm and shall not be subject to withdrawal, escalation or change for sixty (60) days after the date this Contract/Proposal is submitted to Village.
