The City of Galt (City) is soliciting this Request for Proposals (RFP) for consulting design services associated with the replacement of the existing pool slide. The existing pool slide has a substantial amount of rust and degradation from years of use and the elements eroding the structural integrity of the slide. The City intends to retain a qualified and committed professional design firm to be part of the City's team. The successful design firm shall design the new pool slide for the Gora Aquatic Center. The City uses a "Qualifications Based Selection" process in determining which Consultant to contract with. The process will include an evaluation and ranking of Consultants based on set evaluation criteria. Top ranking Consultants may be asked to participate in an oral interview and will be ranked again based on set evaluation criteria. If for any reason an acceptable contract cannot be negotiated with the top tanked consultant, negotiations will commence with the next-ranked firm. In addition to the proposal a password protected (independent of proposal) cost estimate is required. The consultant is to submit a detailed cost proposal for all services and materials anticipated in completing the project. The estimate must be prepared in advance and submitted with the proposal in a separate pdf so the City has a detailed cost analysis of the project to evaluate the reasonableness of the Consultant's cost proposal. The estimate will be kept confidential until after the consultant rankings have been established. The City will open and review the fee proposal of the top-ranked consultant only. All questions regarding this RFP shall be submitted by e-mail, no later than 5:00 p.m. on Wednesday, June 21, 2023, and sent to the project manager. Interested firms are encouraged to submit a contact e-mail address to the project manager with a request to be included on an electronic mailing list. Firms on the mailing list will receive copies of the response to all project questions submitted. All questions and answers will be confidential, and no firms will be identified in the responses. Questions received less than seven (7) working days before the proposal's due date may not be answered by the City. Material changes, if any, to the scope of services or proposal procedures shall only be transmitted by written addendum and posted to the City website. Any addendum shall be acknowledged, signed, and submitted with the proposal. The City is requesting for all proposals to be in accordance with the following requirements: o One (1) electronic version (in PDF format); and o One (1) separate password protected pdf of the Cost Estimate of Consulting Fee. Do not include the Cost Estimate in the same pdf as the proposal. The City will request the password for the Proposed Fee document if they move forward with your proposal.
