You are invited to submit a quotation to supply the Huntsville Utilities Electric System with distribution and transmission class concrete poles in compliance with Huntsville Utilities Electrical Engineering Department Concrete Pole Specification, 30' to 90'" EED105.30\6 E-6612 latest revision and drawings. Last day for questions: March 26, 2024 Questions pertaining to the contract should be addressed to the administrator and contact person listed in the bid letter. Upon award, supplier is required to keep contact person informed of any new products that offer cost savings due to price, quality, or other advantages to either replace or supplement existing materials included in the contract. Late bids will not be considered The Pole sizes and classes to be quoted are listed on the enclosed Proposal Form. Period of initial support for agreement is to be for three years beginning April 28, 2024. Your pricing proposal must be submitted on the enclosed Proposal Form and in Excel Format on a USB Drive. The USB Drive should be submitted with your Bid Proposal. All information that is provided on the USB Drive should be noted on a separate document. Provide individual unit pricing; however, we reserve the right to award this agreement on a lot basis. Bids must be submitted in a sealed envelope. Bids should be addressed to: Huntsville Utilities, P.O. Box 2048, Huntsville, Alabama, 35804, IFB Number and Bid Name and Attn: Appropriate Buyer. Each bidders sealed envelope should show in the lower left corner the following information: bid number, the bid opening date and time, and Attn: Appropriate Buyer Responsibility for assuring bid arrival at bid opening location prior to bid opening time rests with the bidder. Proposals sent via facsimile machine will not be accepted. Proposals will not be accepted via telephone. Huntsville Utilities is under no obligation to pay postage due on bid packages. Proposals and/or envelopes that do not contain this information may not arrive to the appropriate person and therefore be considered late. Unsigned proposals will not be considered. Bidders name, address, telephone number, facsimile number, e-mail address (if available) and contact person(s) must be included. Penciled bids will not be accepted. Errors will not be corrected after the bid opening; however, we reserve the right during our evaluation process to verify entries that appear to be obvious arithmetic, typing, or similar errors. We make no guarantee of quantities to be ordered during the support period. Your proposed pricing should be the total unit cost per pole, each size, delivered to our 1145 Jordan Road Service Center or to job sites, Huntsville/Madison County, Alabama. Orders may consist of mixed pole sizes per truckload. Quote terms, availability, firm price, and FOB Huntsville, Alabama, at Huntsville Utilities receiving points. We reserve the right to consider alternative pricing proposals. Vendor specified terms or conditions which would preclude bid rejection will not be renegotiated after the bid opening. Huntsville Utilities reserves the right to reject any bid, in whole or in part.
