The intent of this RFP is to award contracts to multiple vendors for the purchase, delivery and installation of building controls and building automation systems pursuant to the specifications attached to this RFP, on an as needed basis. Question Cuttoff Date & Time: 3/6/2024 02:30:00 PM (ET) The District School Board of Pasco County is soliciting a Request for Proposal (RFP) for building controls and building automation systems pursuant to the specifications attached to this RFP. The following control system manufacturers are being requested by the District to maintain consistency with existing systems: Alerton, Delta and KMC. The District reserves the right to bid large projects separately from this solicitation if deemed in the best interest of the District or if required by an applicable law, rule, or policy. This RFP will be awarded up to the three (3) highest scoring responsive and responsible proposers meeting written specifications and evaluation criteria (one for each brand). After award, the District will be requesting bids for equipment and labor from the awarded vendors for each project. The initial term of this contract will commence upon Board Approval and shall remain in effect for three (3) years. It may be renewed for a period that may not exceed three (3) years or the term of the original contract, whichever is longer, at the mutual agreement of the parties, and if needed, ninety (90) days beyond the expiration date of the current contract period. Any project in progress (incomplete) on the expiration date of the contract term shall be completed by the awarded project vendor. The deadline for questions concerning this RFP is March 6, 2024 by 2:30 PM (ET). In order to preserve the integrity and impartiality of the assessment process, proposers are strictly prohibited from discussing their proposals with members of the Evaluation Committee. All questions MUST be posted Electronically so that they may be answered electronically. All proposals will be independently reviewed and scored by an Evaluation Committee consisting of three (3) members of the Maintenance Services Department. Should for any reason any member of the Evaluation Committee become unable to participate in the evaluation process, the District reserves the right to replace that member. Cost, Location, References, and M/WBE status will be scored by the Purchasing Services Department. Criteria scores will be averaged to determine the respondents scores for Categories B and C. Total scores will be used to rank proposals from highest to lowest The District reserves the right to waive minor informalities in any proposal, to accept any proposal which they consider to be in the best public interest, and to reject any part of, or any and all proposals. Failure to read or comply with the terms and conditions in no way relieves company(s) from their liabilities arising hereunder. Solicitations cannot be withdrawn prior to Board approval without a valid written explanation from proposer and written consent of the Purchasing Director
