VIU of the intent to contract directly with 0696349 BC Ltd. DBA Powell River Maintenance and Janitorial for building maintenance and janitorial services for VIU's tiwsemawtxw Campus Any questions or objections regarding this NOI must be sent to the NOI Contact at bidding@viu.ca. Known as a centre of excellence for teaching, applied research and learning, Vancouver Island University (VIU), is a public post-secondary institution with roots that date back to 1936. Supporting a student population in excess of 16,000 full-time and part-time learners and employing over 2,000 faculty and staff, VIU operates in four campuses including a main campus in Nanaimo and regional campuses in Duncan, and Powell River. VIU is also the proud owner of Milner Gardens and Woodland in Qualicum Beach. Description of Product or Service The Contractor is to provide building maintenance, Grounds Maintenance, and Janitorial Services which must have the following services: o Building Maintenance (90 hours/month, 12 months/year) o Garbage and debris are removed from the grounds surrounding the buildings; o Provide set up and tear down of classrooms when required; o Open up buildings daily as per campus schedule remain on-site until administration staff arrive; o Installation of various items, i.e. signage, shelving, etc. o Moving of furniture, i.e. desks, tables, filing cabinets, etc. o Painting and repairing buildings as required inside and out; o Maintain maintenance storage area in a neat and orderly fashion; o Follow all safety VIU requirements, i.e. provide MSDS info, secure shelving, properly dispose of waste, testing of emergency lighting, etc.; o Monitoring of HVAC system; o Liaise with various contractors when necessary to ensure proper repair is completed; o Liaise with various VIU facilities staff at both the Powell River and Nanaimo campuses. o Grounds Maintenance (15 hours/month, 6 months/year) o Trimming and pruning shrubs and trees o Weed-eating o Brush cutting and weeding along parking lots; o Weeding shrub beds; o Cutting of lawn; o Removal and off-site disposal of all garden waste; o Pickup and disposal of any litter on grounds as required; o Sweeping sidewalks o Parking lot and pavement is kept free of ice, snow, weeds, moss, etc o General maintenance in parking lots; o The use of herbicides is prohibited. o Additional Services o On an as if and when required basis the following additional service may be required between April and November as directed by VIU: a) Pressure washing of parking lot, sidewalks, walkways and stairs o On an as if and when required basis the following additional service may be required between November and April as directed by VIU: a) Snow and ice removal on walkways, sidewalks and stairs; b) Application of Ice Melt - VIU to supply product; c) Snow removal to be completed prior to school opening. o Janitorial Services (21 hours/week, 52 weeks/year) o Nightly (5 days per week) after regular office or class hours. Work must start no earlier than 21:50 and end by 6:00 am weekdays o Weekend services for 2 hours on either Saturday or Sunday between the hours of 22:00 PT (Saturday or Sunday evening) and end by 7:00 am PT (Sunday or Monday morning). o Carry out VIU's organic and recycling programs by collecting all organic and recyclable items from the recycling centres on each of the floors to the various identified recycling dumpsters located throughout the campus. o Provide clear vented recycling bags and ensure bags are removed when three quarters full or as required. Removal consists of tying and removing the tote bags and bringing them to the recycling bins. o Manage the condition and performance of all dispensers including installing any dispensers required. o All Statutory holidays are excluded from cleaning services. The Statutory holidays are New Year's Day, BC Family Day, Good Friday, Victoria Day, Canada Day, BC Day, Labour Day, Thanksgiving Day, Remembrance Day and Christmas Day. 1) Contractor should have the following: o Minimum 3 years of providing building maintenance and janitorial services o At least one (1) project of similar scope and size
