Reference Number 0000266756 Question Acceptance Deadline 2024/04/05 04:30:00 PM CDT The Contractor will perform inspections, preventative and predictive maintenance of fire safety equipment, adhering to practices in accordance with the original equipment manufacturers recommendations and will ensure the highest industry standards of performance, safety, regulatory compliance and most energy efficient operation of the equipment and systems as is necessary to prevent equipment failure and extend useful life. The Scope of Work will include but is not limited to: Maintenance (preventative and/or predictive) and scheduled inspection services pertaining to Fire and Life Safety, Fire Suppression and Fire Alarm Systems. Maintain fire and life safety suppression and detection systems (including sprinkler systems, smoke/heat detectors, standpipes, fire hose cabinets, fire hoses, fire hydrants, emergency lights, and exit signs: to ensure continuous and appropriate operations during emergency situations. Conduct fire damper, smoke damper, and smoke evacuations systems maintenance and testing in compliance with industry standards and currently available code mandated practices and frequencies. Ensure that fire and life safety services comply with all laws and regulations as well as any changes, both scheduled occurrences and new. Participate in annual fire drills. Ensure factory certified and licensed personnel respond to emergency conditions. Ensure fire and life safety equipment (i.e. emergency lighting and batteries, etc.) operate as required during power outages or other emergency conditions, by periodically testing the equipment. Maintain records of testing and remedy issues that are raised during the testing process. Conduct all fire and life safety specific maintenance and testing (i.e. flow tests) consistent with industry standards or code mandated practices and frequencies. Ensure fire extinguisher annual testing requirements are satisfied. Work with the City Designee to recommend opportunities to improve safety and reduce business interruptions by identifying potentially vulnerable areas, equipment or processes. Maintenance records shall be kept for all assigned fire and life safety equipment. At all times, the Contractor must be 100% compliant with all current and/or prevailing codes, laws, and policies. The Contractor shall schedule services in such way as to minimize disruption of activities of, and inconvenience to, the site occupants. Any planned maintenance inspection will be performed Monday through Friday, on the days and hours that the location is open to the public, unless it is otherwise required to be performed after hours due to the nature of the service performed and the building requirements at no additional cost to the City. Following the performance of duties, the Contractor shall return the premises to a neat, clean and orderly condition and shall properly dispose of any trash or debris generated by such work. All defective parts, complete controls, and devices shall be replaced, as and when required, with new genuine parts or factory reconditioned components of the original equipment manufacturer. When original parts are not available, an equal to or better substitute may be accepted. Insurance required per Section 11.1 of the Instructions to Tenderers and Section 5.02 of the draft Service Agreement in Appendix C of this ITT. a. Comprehensive General Liability Insurance $5,000,000.00 per occurrence b. All risk insurance on any personal property, tools or equipment to be used in the performance of the work. c. Standard automobile insurance - $2,000,000.00 The provision of professional services for a three (3) year term effective immediately and terminating on December 31, 2026 which includes but is not limited to all regulatory, inspection, testing, and maintenance requirements for the fire and life safety, fire suppression, and fire alarm systems throughout all City of Kenora facilities (the "Work") as set out in the detailed scope of work included in Appendix "A" to this ITT.
