Carnegie Library Roof Repair Bid security in the form of a cashier's check, a certified check, letter of credit, or a Surety Bond in the amount of five percent (5%) of the Base Bid shall accompany the sealed Bid of each Bidder. Bid security will be returned to the unsuccessful Bidders Bids received more than ninety-six (96) hours, excluding Saturdays, Sundays, and Holidays, before the time set for opening of bids, as well as bids received after the time set for opening of bids, will not be considered and will be returned unopened. The Bidder shall honor the bid prices for a period of sixty (60) days after the scheduled closing time of receipt of the bids Bids are tentatively scheduled for consideration by the City Commission on Monday, June 3, 2024, at 6:00 P.M. in the City Commission Chambers on the third floor of City Hall. The Bidder shall only use the City's Bid Proposal and affidavits or photocopies thereof. All forms must be signed and all affidavits sworn to and notarized. All bids shall be typewritten or in ink. Bidder shall file the bid in a sealed envelope. Each envelope shall bear a legible notation thereon that it is a bid upon the project proposed, list the bid number, and the name of the Bidder. The City of Ardmore reserves the right to change dates the bid will be considered, reject any or all bids, waive all formalities and to accept that deemed most advantageous for value received. Written requests for interpretation shall be received no later than 5:00 P.M., C.S.T., Wednesday, May 8, 2024. Answers to all questions will be forwarded to all prospective bidders no later than 5:00 P.M., C.S.T., Thursday, May 9, 2024. If you have questions concerning the bid process, please contact Sherrill Shaw, Purchasing Coordinator, at (580) 221- 2582, between the hours of 7:30 a.m. and 5:00 p.m., Monday-Thursday and 7:30 a.m. and 11:30 a.m. Friday. Description of Work A. Projects shall include, but not be limited to, all labor, parts, supplies and equipment to provide roof repairs as described by the Project Manager, for the Carnegie Library in Ardmore, OK. B. Work may require the demolition or alteration of existing systems; in which case, all material and debris shall be cleaned up and removed from site by the Contractor on a continuous daily basis. C. Contractor shall be responsible for determining and implementing regulatory compliance activities, including, but not limited to work practices, engineering controls, personal protections, air monitoring, testing, hazard communications, material handling, record retention, handling and waste disposal. PURPOSE A. Provide roof repairs to the existing roof, for the Carnegie Library at 511 Stanley SW, Ardmore, Oklahoma, to be completed thirty (30) days after notice to proceed. B. The building can be viewed on Tuesday, May 7, 2024, at 10:00 A.M. This will be the only opportunity for bidders/contractors to view the site. C. All contractors are required to carefully examine the site of the proposed Work and Contract and it is mutually agreed that the submission of a bid shall be evidence that the Vendor has made such examination and has judged for and satisfied himself as to the conditions to be encountered and as to the character, quality, and quantities of work to be performed and materials to be furnished. D. Contractors shall also familiarize themselves with and shall comply with the requirements of all Federal, State, and Local Laws and Ordinances which may directly or indirectly affect the Work, execution of the Work, persons engaged in or employed on the Work, or the materials or equipment used in the Work. No adjustments or compensations will be allowed for losses caused by failure to comply with the above requirements. E. The bidder shall be responsible for all labor, parts, materials, supervision, and services necessary to provide the new roof system to the aforementioned properties. F. The Contractor shall insure the obligations incurred by him in connection with the performance of said work have been fully paid and settled. G. Promptly give the City written notice of all conflicts, errors, ambiguities, or discrepancies that bidder discovers in the bid documents and confirm that the written resolution thereof by the City is correct. H. Determine that the bid documents are generally sufficient to indicate and convey understanding of all terms and conditions for the performance of the work. I. Bidder accepts the provisions of the Agreement as to liquidated damages ($250.00/calendar day) in the event of failure to complete the Work within the times specified above, which shall be stated in the Agreement. J. Required Bid security in the form of a Bid Bond in the amount of 5% of the Bidder's maximum Bid Price shall be submitted with bid. K. It shall be the full responsibility of the Contractor to obtain and pay for any and all permits required by the City, County, and/or State. The City's fee will be waived. L.
