Lions Park Pavilion #1 Project The Town of Smithsburg is soliciting bids for Lions Park Pavilion #1 Project improvements. The Town of Smithsburg invites the submittal of responses to this Request for Proposals (RFP) from qualified firms to provide improvements to The Lions Park Pavilion #1 project. The work shall include various improvements to the existing Pavilion #1 THE WORK MUST BE COMPLETED BETWEEN JULY 14,2023 and AUGUST 16, 2023. The Mayor and Town Council will revisit the proposal package information at an upcoming meeting for the purpose of approving a bid. The Town Manager will contact the awardee and provide a letter to unsuccessful bidders within 7 days of the approval. Upon written notice from the Vendor that the project is complete, the Owner will make a final inspection with the Vendor and will notify the Vendor verbally/ as well as in writing of any particulars in which this inspection reveals that the work is not complete and/or what is expected. The Vendor shall immediately make such correction as are necessary to remedy such defects. Inquiries: Technical questions may arise as firms are preparing their proposals. The Town will accept written inquiries regarding this RFP until seven (7) working days prior to the RFP due date. Questions received after that time will not be responded to. Answers to questions that warrant attention of all the potential proposers will be distributed in the form of an addendum. The Town will accept written inquiries regarding this RFP until seven (7) working days prior to the RFP due date. The Town of Smithsburg reserves the right, at any time, to modify, waive or otherwise vary the terms and conditions of this RFP including, but not limited to, the deadlines for submission and submission requirements. The Town further reserves the right to reject any or all submittals, to cancel or withdraw this RFP at any time and to negotiate with any party prior to or after submittal of proposals. Selection is also dependent upon the negotiation of a mutually acceptable contract with the successful proposers. No reimbursement will be made by the Town of Smithsburg each for any costs incurred in the preparation of the proposal or presentation. Each proposal shall state that it is valid for a period of not less than 120 days from date of receipt. OPTION #1 A. Install tar and seal coating on exiting Roof. B. Change color scheme of Pavilion to match natural surroundings, all colors listed are Sherwin Williams paint from Lowes, Support Columns to be painted (CocoonHGSW6173),Gables(Natural Linen-HGSW9109),Roof either (SmokehouseHGSW7040,orVirtual Taupe- HGSW7039) to be determined at mandatory pre-bid. C. Remove chicken wire from beneath the ceiling and replace with solid lightweight aluminum sheets Tan in color. D. Remove yellow flashing around the perimeter of Pavilion replace with something more natural in color, remove existing and keep new flashing at the same level of the main roof structure. E. Power wash interior prep area, all picnic tables and concrete floor. F. Remove stove and replace with Stainless- steel shelving. G. Replace existing sink with new Stainless-Steel sink. H. Remove all Formica and back wall shelving; replace with new Stainless-Steel countertops. I. Resurface and epoxy floor in prep room J. Use stacked Eldorado Stone or equivalent to wrap the support columns up to a height of 3'. K. Enclose the remainder of Support column in wood, see color choice above. L. Electrical Upgrade, clean-up wiring in Pavilion, replace and add three additional GFI outlets on the exterior wall under the Pavilion. OPTION #2 A. Install New metal roof to match (Smokehouse-HGSW7040,orVirtual Taupe- HGSW7039). B.
