The University of Akron reserves the right to select one, several, or none of the proposals submitted as identified in Section 3.7 of our General Terms and Conditions. PROJECT INTRODUCTION Lighting-as-a-Service (LaaS) is a delivery model that allows lighting services to be charged on a subscription basis, rather than via a one-time payment. The lighting contractor plans and designs the retrofitting process to upgrade and optimize the lighting system. The contractor purchases and coordinates the installation of all the required equipment. o No upfront investment for the University. All costs shall be part of the service payment. o Provide retrofit of existing fixtures. Match existing area (paint, etc.) for any eliminated fixtures. o Provide guaranteed energy savings. o Provide scheduled repairs for all outages of installed product in a timely manner. o Contractor responsible for ongoing maintenance during contract term. The University of Akron requests proposals from interested manufacturers and vendors to replace the existing overhead light fixtures with LED high performance lighting per a Lighting as a Service (LaaS) Contract at the Stiles Athletics Field House. The University's objective is to improve energy efficiency by decreasing maintenance and utility costs to achieve optimal lighting for student-athlete practice and competition performance. Stile Field House, constructed in 2004, is the premier indoor practice and competition venue for The Akron Zips Athletics teams. The 120,000 square foot structure consists of a 100-yard artificial infill turf field and a 300 meter six-lane track. There are two long jump-triple jump sand pits and runways and several locations for pole vault runways and landing pits. Pully system netting separates the track from the field, can divide the field in half, and drop four separate batting cages to allow several sports to practice at one time. Features retractable bleacher seating that can accommodate 1,000 spectators for the many games and events programmed each year. Stiles Field House has hosted several collegiate track and field meets, including several Mid-American Conference Championships and Big East Conference Meets that have featured All-American and Olympic level student-athletes. High School meets have included schools from all parts of Ohio and surrounding states including facilitating the State High School Indoor State Track and Field Championships. In addition, Stile Field House programming has included sports camps, lacrosse and softball games, national wrestling tournaments, college fairs, fundraising walks, and other unique programming. SCOPE This project is the replacement of the existing lighting with LED high performance up lighting. All fixtures will be selected and approved by the University. This is a one-to-one lighting fixture replacement. If a bidder wants to offer an additional solution to yield the same lighting levels with a reduction of fixtures, they are welcome to also bid on that solution for the University to review and approve. The bid will be for the full one-to-one replacement, and then a separate bid with details for the reduction of lighting fixtures. The awarded company (AWARDED) will be responsible for all lighting, at no cost to the University. The lighting product will carry a minimum seven-year warranty on the fixture. The AWARDED is responsible for warranting the product for the entire term of the contract. During this term, the University will agree to pay the AWARDED a percentage of the energy savings, which will be metered and measured. Terms to be determined by the bidder with a maximum of 10 years. If an extension above this is needed, please detail the reasons why. It will be extremely important that the AWARDED do a thorough field investigation of existing conditions in the building, to reduce the risk of change orders, inaccurate line voltages, existing fixture types and arrangements that are not shown on any documentation, and to ensure that the project represents the needs of the University. This work will help reduce the risk of change orders. All bids will be reviewed and scored. The AWARDED shall have a minimum of (5) references. While cost to the University is an highest weighted factor, it shall not be the sole determining factor for awarding the project. EDGE Requirement 5% EDGE participation goal.
