The Town is requesting proposals from companies qualified to design, develop, and install upgraded audio, video, and sound system equipment in the Town Hall Council Chambers to provide live and recorded cable broadcast, along with interoperability with a remote participation platform such as Zoom, Microsoft Teams, or Google Meets. This request is for the immediate replacement and upgrade of the existing system. The Council Chambers and related control systems will be upgraded, to utilize current, reliable, and supportable technology to allow the Town to conduct Town meetings and other presentations requiring internal AV support. The new Council Chambers Video production system will include: o (7) 21.5" LCD computer monitors on Dais for Council Members o 65' Monitor for Council Chambers o All displays should receive the same computer/video signal from the clerk computer o (8) Gooseneck Microphones with wireless receivers Microphones as needed Council Members, (4) Staff and (1) at the lectern (total 13) o New ceiling mounted speakers in Council Chambers as needed (note limited space above dropped ceiling) o (4) High-Definition IP cameras with PTZ with the capability to configure viewing presets o Camera Controller o Video Switcher o Integration of all conference system components System control from Clerk Station and AV Room o AV rack - located in new AV room o Hardware and software as needed for hybrid, live stream and recording of meetings o Proposal should itemize these requirements and outline the functionality o Integrated speech timer o Listening Assisted Devices as required by code o WXGA Projector and screen o Equipment that will allow streaming website and to social media platforms o Digital media storage f Last Date for Questions: October 7, 2024, 5:00 PM Following the Pre-Proposal Meeting and site walk-thru, all questions concerning this RFP shall be submitted in writing; questions may be submitted until 5:00 pm on October 7th to RFP-BIDQuestions@RiverdaleParkMD.Gov and include the company's name, point of contact, email and business addresses, and telephone number. Final written responses will be provided on October 9 A Performance Bond will be required in the amount of One Hundred (100) percent of the contract price covering faithful performance of the contract, made out to the Town of Riverdale Park within ten (10) calendar days following the issuance of the executed Task Order Contract.
