SUNY intends to procure an AV System with configuration and Installation services pursuant to its discretionary purchasing authority under State Finance Law section 163(6). This procurement opportunity is limited to New York State businesses certified pursuant to Article 15-A of the New York State Executive Law. General Description: SUNY Downstate has initiated a renovation project of the main cafeteria that is shared by the Hospital and the University. The University is requesting a price for the specification, integration, and installation of the audio-visual systems required to deliver the desired functionality of the new cafeteria spaces as described below and in the attached bid package. The infrastructure and layout of the desired AV systems are detailed in the attached bid package. AV infrastructure details were prepared and added to the plan by AV designers from Shen Milsom & Wilke in collaboration with the University customers. GC provides: All wiring infrastructure and pathways, including conduit and junction boxes, as well as blocking for any hardware to be mounted. Full vendor/contractor Scopes of work are on drawing TA-001. AV Contractor (AVC) bid to include pricing and details for: o Equipment to accomplish the specified AV experience o AV system drawings o Installation, integration, and configuration of all equipment and systems o Delivery of fully functional and tested AV systems o Adherence to University design / brand standards o As built system drawings o Control program project source and compiled files o Admin account access to all control and signal processing devices o User documentation on AV equipment use o Evaluate drawings for specification of all power and ethernet required for AV systems, including where PoE is required. All AV Systems o Will be monitored by SUNY AV using an existing XiO cloud instance o Touch panels will match the design aesthetic of the existing University panels, utilizing the NEW logo and branding to be provided. o Touch Panels will include help request via email to AVassist@downstate.ed 1.) Board Room The Board Room AV system will be optimized for conferencing using the OFE Computer in the rack. There is no requirement for Video Conferencing appliances. The AV system will include: o One primary projection screen display. The projection screen will be installed by the GC. GC and AVC will coordinate on size/model. Projector should be laser. o Two flanking 65" displays. The side displays will turn on and mirror the main display source by default but will also be matrixed to be able to display the other available input sources independently. The side displays will have separate power controls on the touch panel. o Two auto-framing web addressable cameras will feed video to the PC and be available as USB sources for Zoom, etc. o 7" Crestron Team Panel in Pre-Function area to be wall mounted. o Equipment rack in a dedicated electric closet. Display Sources: o OFE Computer in AV rack. o HDMI input cables from two conference table TAVP-01 locations (auto-select) o Mersive Solstice Pod Gen3, with 3 year conferencing subscription. 2.) Conference Room o Primary display - 65" Promethean touch display o Display sources o OPS PC o Promethean Android OS o Mersive Solstice Pod Gen3 o HDMI AND USB from TAVP-01 at table. o Touch panel control on conference table o 7" Crestron Team Panel wall mounted in Pre-Function area 3.) Flexible Event Space o Two 95" flat panel displays o Wall mounted touch panel for AV Control o Wall mounted 7" Crestron Team Panel for room scheduling o Lectern with laptop/USB inputs and gooseneck mic for speech audio, o Equipment rack in adjoining storage space o Ceiling mics adequate to cover full space (assume walls closed). Ceiling mics are for conferencing, not amplification (Shure MXA920 preferred). o Web addressable auto framing front and rear cameras (Huddly preferred) will feed the OFE PC, including USB o Display sources, matrixed: o OFE Computer in rack o Mersive Solstice Pod o HDMI/USB at lectern for Laptop. Laptop USB will have access to PTZ cameras, as will the OFE Computer in rack. 4.) Digital Signage Digital sign displays shown throughout the cafeteria, shown on drawing TA-301, and circled in the detail below in red, will primarily display a locally installed HDMI digital signage player. They will also have the Flexible Event space sources as an alternate input, controllable by the Event Space touch panel. The default source is the digital sign. The digital sign source should be selected when the Event Space AV system is turned off. Hospital PA System There is an existing paging system that powers speakers throughout the entire hospital building and the cafeteria. The PA system must be either integrated with the new AV systems, or additional speakers added such that hospital pages are heard in addition to any program or speech audio being played by the new systems. The PA system must be left in operable condition in all non-renovation spaces throughout the entire project. Any required shutdowns must be as brief as possible and coordinated with the hospital administration. The AVC must coordinate with the GC closely to be aware of the timing of the phases of demolition and construction so that the paging system remains operational in the spaces that are in use between phases of the renovation. The AVC must determine whether existing amplifiers in the hospital PA system are adequate to power the new area covered by the expanded cafeteria space, or if additional amplification is needed. There appears to be extra rack space in the existing hospital paging system rack, if more amplification is needed. Alternately, a new amplifier can live in one of the new cafeteria AV racks. More on this below in #6.
