Request for Proposal Description: Buncombe County Schools is seeking qualified appliance repair companies and/or HVACR service providers to provide preventative maintenance, emergency repairs, system upgrades/modifications, replacement of parts, and additional services as needed throughout the Buncombe County Schools system Refer ALL Inquiries regarding this RFQ to: Clark Wyatt, Director of Maintenance & Facilities Email: clark.wyatt@bcsemail.org Phone: 828-232-4244 The Buncombe County Schools Maintenance and Facilities Department is requesting proposals from qualified appliance repair companies and/or HVACR service providers. Providers must be able to provide preventative maintenance, emergency repairs, system upgrades/modifications, replacement parts, and additional services on an as needed basis. Services will be performed throughout the Buncombe County Schools system. The school system has forty-seven facilities. The intent of this solicitation is to award an agency contract between Buncombe County Schools and the vendor or vendors award contracts by the RFQ. The Contract shall have an initial term of two (2) years, beginning on the date of final Contract execution (the "Effective Date") or Monday, October 7, 2024, whichever is later. For proposals submitted via U.S. mail, please note that the U.S. Postal Service delivers mail to Buncombe County Schools Central Office not to a specific office within Buncombe County Schools. Vendors are cautioned that proposals sent via U.S. Mail, including Express Mail, may not be delivered by the Buncombe County Schools Purchasing Office on the due date in time to meet the proposal deadline. All Vendors are urged to take the possibility of delay into account when submitting proposals by U.S. Postal Service, courier, or other delivery service. If confidential and proprietary information is included in the proposal, also submit one (1) signed, REDACTED copy of the proposal. Bids for this project will be received by the Buncombe County Schools Purchasing Department. At that time, bids will be opened and evaluated. A bid tab will also be prepared Late bids, regardless of cause, will not be opened or considered, and will be automatically disqualified from further consideration. Vendor shall bear the sole risk of late submission due to unintended or unanticipated delay. The date and time of receipt will be marked on each proposal when received. Any proposal or portion thereof received after the proposal submission deadline will be rejected. Delivered bids will be accepted at the Buncombe County Board of Education at Visitor Entrance A ONLY. Bids may be delivered Monday - Friday from 8:00 a.m. through 3:00 p.m. Bid proposals will not be accepted after the bid closing time on the bid closing date. Questions received prior to the submission deadline date, Buncombe County Schools' response, and any additional terms deemed necessary by Buncombe County Schools will be posted in the form of an addendum that will be emailed to the vendors on the bidders list and posted electronically. Buncombe County Schools reserves the right to reject any and all bids, to waive any informality in bids and, unless otherwise specified by the Vendor, to accept any item in the bid. If either a unit price or an extended price is obviously in error and the other is obviously correct, the incorrect price will be disregarded. Regardless of error or omission, a Vendor shall not be permitted to increase its pricing after the deadline for submitting bids
