The Memphis Community Schools Board of Education reserves the right to accept or
reject any or all bids, whether in whole or in part, to award a contract to other than the low bidder; to
waive any irregularities and/or informalities; and in general to make awards in any manner deemed to
be in the best interests of the District. Introduction:
Memphis Community Schools, located in Memphis, Michigan, is seeking proposals from qualified and
experienced vendors for snow plowing/salting services. The purpose of this Request for Proposal (RFP) is
to select a vendor who can provide professional and reliable snow plowing/salting services for our
school district's properties.
Background:
Memphis Community Schools is a public school district serving the educational needs of students in our
community. We take pride in maintaining a safe, clean, and aesthetically pleasing environment for our
students, staff, and visitors.
Scope of Work:
The selected vendor will be responsible for providing comprehensive snow plowing/salting services for
the school district's properties, which include but are not limited to:
- Snow plowing/salting services of the parking lots, driveways, adjacent sidewalks to the school
fronts, loading dock, areas of the school buildings. The contractor will keep sight lines clear, as
best as possible, of snow piles especially at roadway entrances and exits from parking lots and
drives. Work will be at the below referenced addresses;
- Memphis Junior/Senior High School, located at 34130 Bordman Road, Memphis Michigan 48041
- Memphis Elementary School, located at 34165 Bordman Road, Memphis Michigan 48041
- Memphis Bus Garage, located at 34841 Bordman Road, Memphis Michigan 48041
- Memphis Central Office, located at 34110 Bordman Road, Memphis Michigan 48041
- Marking of areas of parking lots and/or drives with reflective markers where snow plowing
services will be conducted to prevent damage to property and other obstacles.
- Services are expected based on weather conditions and experience, to keep the district open.
- Any additional services necessary to maintain safety on District properties.
Proposal Requirements:
Interested vendors are requested to submit their proposals containing the following information:
1. Company Profile: Provide an overview of your company, including years of experience in
providing snow plowing/salting services and number of employees.
2. Service Approach: Please include the equipment you use to ensure high-quality results.
3. Proposed Schedule: Outline your proposed schedule for performing snow plowing/salting
services, including frequency of visits and any flexibility in scheduling to accommodate school
events, games and practices.
4. Pricing: Provide a detailed pricing structure for the services outlined in the scope of work.
Include per push and seasonal pricing. Include any discounts or incentives for long-term
contracts and early seasonal contracts.
5. References: Furnish references from current or previous clients who can attest to the quality
and reliability of your snow plowing/salting services.
6. Insurance and Licensing: Provide proof of liability insurance and any required licenses or permits
to operate as a snow plowing service provider in Michigan. Evaluation Criteria:
Proposals will be evaluated based on the following criteria:
- Experience and qualifications of the vendor
- Quality and comprehensiveness of the proposed services
- Pricing competitiveness
- Availability and responsiveness to school district needs
- Reputation and references Contract Start Date: As dictated by weather and snowfall forecast, usually early November 2024 through
late March 2025.
Right to Reject Proposals:
Memphis Community Schools reserves the right to reject any or all proposals received, to waive any
minor irregularities or informalities in the proposals, and to accept the proposal(s) deemed to be in the
best interest of the school district.
