Access Control Services for New City Hall The City of Benton reserves the right to reject any and/or all bids, to waive informalities and to award the bid to the bidder deemed to be in the best interest of the City. Faxed, emailed and late bids will not be accepted. No bid may be withdrawn, after the scheduled closing time for receipt of bids, for at least sixty (60) days. Scope: The intent of this Request for Proposal is to solicit proposals from qualified vendors that can provide reliable access control services for the City of Benton at our River Street Complex located at 410 River Street. Requirements: The vendor must meet the following minimum requirements to be considered for this RFP: o Cover letter that summarizes the vendor's qualifications, experience, and understanding of the project. o Company profile that describes the vendor's history, mission, vision, values, and organizational structure. o Staff profiles that highlight the credentials, certifications, and relevant experience of the key technical personnel. o Project plan that outlines the scope, objectives, deliverables, timeline, and milestones of services. o Technical proposal that details the network design, configuration, maintenance, security, performance, and documentation. o Financial proposal that specifies the total cost and breakdown including labor, maintenance and service level agreement. The service level agreement should define the roles, responsibilities, expectations, and metrics. o Have at least five years of experience in providing services to public sector or similar clients. o Have at least three references from previous or current clients within the last 5 years that can attest to the vendor's performance and quality of service within the same client profile, specifically government, nonprofit, or healthcare. o Have a 24/7/365 help desk and a dedicated technical account manager that can provide timely and effective support to the City. o Have a proven track record of delivering network projects on time, on budget, and on scope. o Have a strong commitment to customer satisfaction, quality assurance, and continuous improvement. Billing: Monthly invoices shall be delivered to the City of Benton within 30 days of the month billed for The scope of this RFP is to solicit proposals from qualified vendors that can provide access control services for the City of Benton at 410 River Street Complex. The services include, but are not limited to, the following: o Design, installation, configuration, and maintenance o Onsite support during regular business hours o Emergency support during outages o Maintain excellent communication with leadership on all tasks and projects. We currently use OpenPath for our controlled access areas and would like to keep that system for compatibility.
