The Durham College of Applied Arts and Technology (the "Institution") is seeking proposals for professional audio, video, and lighting services for its convocation ceremonies. The Proponent will be responsible for the complete setup, operation, and breakdown of all audio-visual equipment, ensuring seamless integration and execution throughout the ceremonies Audio Services Microphone Setup: The Proponent will provide multiple microphones for speakers, faculty, bagpipers, and graduates, including wireless options for mobility, ensuring clear audio for all participants. PA System: A high-quality public address system will be used to ensure consistent sound coverage throughout the Tribute Communities Centre. Audio Mixing: Real-time audio mixing is required to manage and balance audio from various sources, including live speeches and any pre-recorded content. Video Services Video Switching: The Proponent will manage seamless transitions between different camera feeds and additional video sources such as presentations or pre-recorded content using a professional video switcher. Video Walls: Large LED video walls will be set up to display live camera shots, videos, and PowerPoint presentations. The setup should be adaptable to different sizes as required by the event. Confidence Monitor: A confidence monitor will be placed on or near the stage to replicate the content displayed on the video walls, ensuring that speakers can follow what is being shown to the audience. Lighting Services Rigging: Rigging to support all lighting and audio requirements during the ceremonies. Stage Lighting: Focused stage lighting will highlight key areas such as the podium, stage, and areas where graduates receive their diplomas. Ambient Lighting: Controlled ambient lighting will be used to enhance the visual ambiance of the arena, with adjustable brightness and color to match the event's tone. Party Lighting: Dynamic, colorful lighting effects will celebrate the graduates during the ceremony. Up Lighting: Up lighting will accentuate stage draping with various colors. Confetti Cannons: Confetti cannons will add a celebratory element to the event. Additional Lighting: Additional lighting will be provided for areas such as photo ops and backstage activities. On-Site Technical Staffing: A team of professional AV technicians, dressed in show black will be responsible for the setup, operation, and breakdown of all audio, video, and lighting equipment. Technicians will actively manage the event using intercom communication with the event lead, cue videos, change slides, switch video feeds, monitor microphones, and adjust lights. They must also be capable of addressing any technical issues to ensure smooth execution of the ceremony. Logistics Seat Covers: Black seat covers will be provided to manage and manipulate seating arrangements as needed. Laptops: Laptops equipped to control all video, sound, and lighting systems, including running the graduate Marching Order. Trucking and Equipment Transportation: The Proponent will manage the transportation of all AV equipment to and from the venue using dedicated trucking services. Setup and Breakdown Setup and Testing: Complete setup of all AV equipment must be performed a day before the event. Functionality tests should be conducted to ensure all systems are operational and ready for use. Event Operation: The Proponent will manage the live operation of audio, video, and lighting systems during the ceremonies. Breakdown and Removal: After the event, the Proponent will perform a complete breakdown and removal of all equipment, ensuring the venue is restored to its original state. The Proponent will be required to provide all necessary equipment and services as described in this RFP for the following convocation events: Fall Ceremony Location: Tribute Communities Centre, Oshawa Date: End of October Duration: 3 Days Spring Ceremony Location: Tribute Communities Centre, Oshawa Date: Middle of June Duration: 4-5 Days Required breaks will be provided, with two to three ceremonies per day, with the possibility of a morning, afternoon and evening sessions. This arrangement requires the Proponent to ensure continuous support, including setup, operation, and breakdown of all audio-visual equipment during these scheduled events.
