No late submitted offer will be accepted or considered. Reponses submitted in physical form or by facsimile or email will not be considered. Offerors are cautioned to commence the submittal process sufficiently ahead of time to allow for unanticipated delays resulting from things like a slow internet connection, internet outage, difficulty uploading large documents, differing system requirements, etc. Questions about this solicitation must be addressed to the responsible Contract Officer listed herein. The Housing and Community Development Department has over one thousand five hundred (1,500) residential housing units scattered throughout the Tucson metropolitan area and beyond. Housing units vary in size, age and occupancy with single family, condo's, townhomes and two commercial high tower apartment complexes. How HCD acquires the items it buys is at the sole discretion of HCD and in some cases is determined by emergency or urgent repair needs. As such, the City is required to provide prompt and timely repairs to these rental units and will need access to storefront inventory in many cases. The General Services Department maintains and services over 400 buildings of various size and age. Because of the large geographical area covered, as well as the great variety of activities that City Departments, including HCD, are engaged in, the City is seeking multiple Contractors who have a strong local presence, as well as a large and diverse inventory to fulfill their needs. Multiple contractors are required to provide adequate geographical, manufacturer and product coverage of City requirements for this scope of work. The result of this competitive process will be a qualified vendor list from which City Departments will choose their source of acquisitions. The City's intent is to develop a Qualified Vendor List for HVAC SUPPLIES (hereinafter referred to as the "QVL"). The QVL will be used to source various residential and commercial/industrial supplies and parts from a myriad of manufacturers and brands to support daily operations, maintenance and repair of residential housing units managed by the Housing and Community Services Department (HCD), commercial/industrial buildings managed by the Environmental and General Services Department, and to meet other City Department supply needs. Successful QVL vendors will be an authorized source for these supplies and parts. Items to be purchased under this contract will be primarily available for pickup at the storefront by City field crews but maybe shipped/delivered FOB Destination to various Tucson Metropolitan locations. The estimated annual spend for this scope of work is $100,000. Various funding sources will be used. Any projects utilizing HUD funding shall be subject to applicable terms and conditions included as attachments to this RFP. HUD terms and conditions listed throughout cannot be modified or negotiated. By submitting a proposal, Offeror agrees to abide by all federal terms and conditions included. Offeror's must submit all required certificates with their proposal submittal. Failure to do so may result in rejection of proposal.
