The City of Harrisonville invites interested firms to submit a signed and sealed proposal for goods and/or services as described herein. The purpose of this Request for Proposal is to obtain sealed proposals for generator preventative maintenance and repairs. It is the goal of this RFP to identify a vendor and execute a contract to maintain and repair generators. Questions regarding this RFP should be directed to: Carl Brooks, Director of Engineering (816) 380-8913. The City of HARRISONVILLE is the only authorized source of proposal forms. Proposal forms obtained from any other source may be incomplete. Offerors using a proposal form not obtained from the City of HARRISONVILLE risk not receiving any necessary addenda, eliminating their bid from consideration. The City of HARRISONVILLE (City) invites interested firms to submit a signed and sealed proposal for goods and/or services as described herein. SCOPE OF WORK Bids shall be signed by the individual or authorized principals of the firm. Bids must give the full firm name and address of bidder. Failure to manually sign bid form may be cause for disqualification. The person signing bids should show title or authority to bind firm in a contract. All bidders/Contractors shall include, with their bids, a list of at least three (3) current references for whom comparable work has been performed and within the past 24 months. This list shall include company name, person to contact, address and telephone number. Failure to include references may be ample cause for rejection of bid as non-responsive. Bids may be held by the City of HARRISONVILLE for a period not to exceed sixty (60) days from the date of bid opening for the purpose of reviewing the bids and investigating the qualifications of bidders prior to awarding of the contract. The City of HARRISONVILLE reserves the right to reject any or all bids or to waive any informality in the bidding, or to negotiate and suggest modifications and amendments, which would make the bid acceptable. A. Provide necessary labor and parts to perform routine scheduled preventive maintenance services to facility back-up generators throughout the City of Harrisonville on a quarterly-annual basis and/or as requested by the contract to maintain the unit in an operable condition in accordance with the specific tasks noted below and the Original Equipment Manufacturers (O.E.M.) recommendations. B. A complete list of the facility back-up generator locations giving the specific manufacturer, model and serial number, KW, specific address location is attached, will be provided to the successful bidders, and shall be made a part of this contract. The kW ranges for the facility back-up generators are from 30 to 1000 kW. The estimated quantity of generators is thirteen (13) units. Recommendation to City Council January 2, 2025 Notice of Award January 7, 2025 The CONTRACTOR shall furnish a surety bond in the amount of one hundred percent (100%) of the AGREEMENT. The surety bond shall be security for the faithful performance of this AGREEMENT and for the payment of all persons performing labor and furnishing materials in connection with the AGREEMENT. The bond shall be from a surety company authorized to do business in the State of Missouri and in a form acceptable to the CITY. Simultaneously with the execution of the contract, the contractor shall furnish a good and sufficient surety bond in the full amount of the contract sum. The surety bond, executed by the contractor to the City, shall be a guarantee: (a) for the faithful performance and completion of the work in strict accordance with the terms and intent of the contract documents; (b) the payment of all bills and obligations arising from this contract which might in any manner become a claim against the City; (c) for the payment to the City of all sums due or which may become due by the terms of the contract, as well as by reason of any violation thereof by the Contractor; and (d) for a period of two (2) years from and immediately following the acceptance of the completed project by the City; the payment to the City of all damage loss and expense which may occur to the City by reason of defective materials used, or by reason of defective or improper workmanship done, in the furnishing of materials, labor, and equipment in the performance of said contract. All provisions of the bond shall be complete and in full accordance with statutory requirements. The bond shall be executed with the proper sureties through a company licensed and qualified to operate in the state and approved by the city. Bond shall be signed by an agent resident in the state of Missouri and date of bond shall be the date of execution of the contract. If at any time during the continuance of the contract the surety on the contractors bond becomes irresponsible, the City shall have the right to require additional and sufficient sureties which the contractor shall furnish to the satisfaction of the City within ten (10) days after notice to do so. In default thereof, the contract may be suspended, all payment or money due the contractor withheld, and the contract completed as hereinafter provided. If specified in the original bid document, the CITY may exercise its option to renew the contract/agreement. Each renewal period shall be for the length of the original contract. The CITY will provide the CONTRACTOR with a written renewal notice sixty (60) days prior to the expiration date of the AGREEMENT period. Pricing shall be in accordance with the fees submitted on the original bid/proposal. All terms and conditions shall remain in effect during the subsequent renewal periods.
