Request for Proposals for Electric, Plumbing & HVAC Services for the City of McMinnville The City of McMinnville, Tennessee will receive proposals from interested Commercial Electric, Plumbing & HVAC Companies for annual maintenance and repair services for all City of McMinnville facilities. Required Information The proposal must address the following criteria and be submitted in this order. Any missing information, including the title on the outside of the envelope, may result in an insufficient proposal that will not be considered. The City reserves the right to reject any and all proposals or begin a new proposal request if the desired results are not achieved during round 1. 1. Company & Contact Information: name of company, address, and telephone number & direct contact or representative information 2. Service(s) Provided: Electrical, Plumbing, HVAC 3. Capacity & Capability: Provide information about the company's capacity and capability to report to the City facility and make repairs on short notice and in a timely manner and any applicable warranty information. 4. References: provide at least 3 references that the City may contact which has direct knowledge of your company's quality of work, response time & customer service. 5. Services: provide a summary list of what an inspection/maintenance plan for every unit includes (frequency, filter change, coil cleaning, belts, diagnostics, remote monitoring, eUiciency reports, etc). a. Please note remote monitoring of the units must be provided by the company, city internet/network is not available. 6. Cost: provide a cost for the following: a. Maintenance Fee per Inspection/Unit (NOT HOUR) b. Fuel or travel fees/surcharge c. Labor cost/hour (per tech if more than 1) d. Material Cost (cost plus ____%) e. Monitoring Cost 7. Other Considerations: a. Please provide any additional information that is not addressed in the above criteria & pertinent to the services requested. Please Note: The selection of the company to provide the described scope of services will not be made on cost alone but will be made based on the consideration of all qualifications-related factors contained in this Request. Services are expected to begin on or around January 1, 2024. There are approximately 12 facilities with a varying number of units at each location. This RFP is for every facility owned by the City of McMinnville.
