The Suffield Public Schools, located in Suffield, CT (the "Town" or "Schools") invites you to submit a sealed proposal for the replacement of eighteen (18) HVAC/roof top units to improve indoor air quality at Suffield High School at 1060 Sheldon Street, West Suffield, Connecticut 06093. The Town received a State of Connecticut grant commitment to fund the above referenced project under the HVAC Indoor Air Quality Grant Program for Public Schools. The project involves the replacement of the HVAC/roof top units at Suffield High School at 1060 Sheldon Street, West Suffield, Connecticut 06093 in order to improve indoor air quality. A proposal is requested for design and construction services to complete the project no later than December 1, 2025. Work Schedules are subject to dates and times where students are not scheduled to be in the building (approximately June 18, 2025 through August 25, 2025). The proposal should include costs for various items as indicated below, as well as other items required to complete the job. A time schedule and any proposed subconsultants is required. Note that all work shall conform to the Connecticut HVAC Indoor Air Quality Grant Program for Public Schools Project Administration Guide (Revised September 7, 2023). The successful bidder will design, procure and install the system (see Item 17, Scope of Work). The School's Facility Manager will oversee the planning process and the selected contractor will work directly with the Schools to create the plans. The chosen bidder will be expected to demonstrate professional experience in municipal HVAC design and installation. In addition, the consultant must have experience collaborating with school systems and other relevant stakeholders, analyzing available data, and effectively communicating and presenting to Town officials and the public. All bids must be in a sealed envelope clearly marked on the front with the name of the bidder and project name: "RFP # SPS-25-01 - Design Build Project to update HVAC Systems to Improve Air Quality at Suffield High School". All responses should be submitted in a concise and legible manner to permit proper evaluation and shall include the Qualification Statement contained herein. Respondents may also submit, under separate cover with their response, any additional reports and documents that are necessary to meet the requirements (deliverables) of this RFP. No Bid will be accepted after the time set for the opening of Bids and no Bidder may withdraw his Bid within 60 days of opening thereof. The Town reserves the right to waive any informality or to reject any or all bids when such action is deemed in the best interest of the Town. There is a mandatory pre-bid walk through of the project. Following the pre-bid meeting, potential bidders will be granted reasonable access to the building for inspections, measurements, etc. to inform the preparation of their bid. Drawings and plans of existing conditions are available from the Town of Suffield Planning Department. Available documents include the following: o Suffield High School RTU Replacement Project Construction Cost Estimate (ROM) prepared by Construction Cost Solutions, LLC, dated November 25, 2022 o Drawings MEP3.2, MEP-4 and MEP-5 all with a revised date of May 21, 2001 (originally drawn by BVH) o Scope of work notes contained in email dated 11/7/22 8:06 AM from CES to Construction Cost Solutions, LLC o Final Town of Suffield Conditions Assessment & Master Plan Prepared by Tecton Architects dated October 2023 Any questions related to this RFP should be directed to Eric Remington at eremington@suffield.org before the Request for Information (RFI) period ends at 12:00 p.m. on, FRIDAY December 20, 2024.
