The Proposer will provide full-service HVAC maintenance services and administer the duties and responsibilities set forth in this RFP, in compliance with all applicable laws, regulations, policies and procedures. Services to be performed include the furnishing of all labor, materials, tools, equipment, supplies, services, tasks and incidental and customary work necessary to competently perform HVAC maintenance work at various City facilities. The work will include the provision of a total maintenance program consisting of a variety of tasks including, but not limited to, installing, replacing, piping, and testing HVAC services and mechanical systems and components. Systems include, but are not limited to, domestic water, heating, cooling as well as all related components required for municipal buildings and facilities. Services will include all parts and labor, online service, on-call repairs, predictive and preventative maintenance, and a designated number of on-site visits per year in accordance with the negotiated agreement and scope of work. The final scope of work may be adjusted after a complete survey and audit of each system by the selected Proposer(s). It is the intent of the City to select a single Proposer to provide the requested HVAC Services; however, the City reserves the right to select one or more Proposers to perform service either through this RFP or through subsequent solicitations for as-needed HVAC maintenance services. The term of the Agreement will be for three (3) years with up to two (2) optional one-year extensions. The City reserves the right to accept or reject any or all responses received in response to this RFP. The City also reserves the right to waive any informality, technical defect or clerical error or irregularity in any response.
