Introduction Harbor Springs Public Schools is seeking proposals for the installation and integration of a new sound system for the football and soccer stadium. The goal is to provide a clear, high-quality audio experience for all events held at the stadium, including sports games, school events, and other community activities. 2. Project Overview The selected contractor will be responsible for designing and supplying a state-of-the-art sound system for the high school stadium, including but not limited to the following services: o Consultation and sound system design. o Equipment supply. (Installations quotes to be provided separately) o Calibration and testing of sound quality. o Training for school staff and maintenance personnel. o Maintenance and warranty options. The system must be able to provide clear, loud audio coverage for a stadium seating approximately 1,000 spectators, ensuring all attendees can hear announcements, music, and other audio content clearly, regardless of their location in the stadium. 3. Scope of Work The scope of work will include but not be limited to the following: A. System Design o Sound system design tailored to the acoustics of the stadium. o Coverage of all seating areas, including end zones, sidelines, and concourses. o Integration of speakers and amplifiers that deliver even sound coverage without distortion or dead spots. o Control system that allows for easy volume and source adjustments. B. Equipment o See separate equipment specification documents. C. Installation o Quotes to be provided separately. D. Testing and Calibration o Full system testing and calibration to ensure optimal sound quality and coverage. o Adjustments to balance and equalization for optimal sound reproduction. E. Training o On-site training for school personnel to operate the system effectively. o Manuals and documentation for system maintenance and troubleshooting. F. Warranty and Support o Warranty information for all equipment and labor. o Maintenance and support options, including annual inspections and updates. 4. Proposal Requirements All proposals must include the following information: o Company Overview: A brief description of your company, including relevant experience with similar projects (especially in high school or sports stadiums). o Project Approach: A detailed description of how you intend to approach the design and testing of the sound system. o Equipment List: Detailed specifications of all equipment to be used, including manufacturer, model number, and key features. o Timeline: A proposed project timeline, from design through installation and training. o Cost Breakdown: A detailed, itemized cost breakdown for equipment, labor, and any additional fees (e.g., maintenance or support). o Warranty & Maintenance Plan: Details on warranty, service agreements, and ongoing support options. o References: At least two references from recent clients who have had similar systems installed in similar environments. 5. Evaluation Criteria Proposals will be evaluated based on the following criteria: o Compliance with the scope of work and technical requirements. o Cost competitiveness. o Quality and reputation of the proposed equipment. o Experience and qualifications of the contractor. o Warranty, maintenance, and support offerings. o Proposed timeline for completion.
