Each facility has different systems with unique requirements therefore, proposals will be assessed separately per facility and the City reserves the right to enter into one or multiple contracts. Deadline for Written Questions March 7, 2025, by Noon City Response to Questions (anticipated) March 17, 2025 Direct all inquiries concerning this RFP to: Brian Clark Director of Operations Email: Brian.Clark@raleighnc.gov The City of Raleigh (COR) is solicitating proposals from one or more firm(s) with which to contract for the following service: The Raleigh Convention and Performing Arts Complex (RCPAC) is seeking a licensed general contracting firm to provide preventative maintenance to the building automation management systems at the Raleigh Convention Center and the Martin Marietta Center for Performing Arts. Each facility has different systems with unique requirements therefore, proposals will be assessed separately per facility and the City reserves the right to enter into one or multiple contracts. To be considered responsive, contractors must respond to this solicitation in accordance with the requirements, specifications, commercial terms, and provisions as described and set forth herein. Services will begin on the execution of a contract between the selected Contractor and the City. The term of the awarded contract is expected to be three years with the option to renew for two additional (1) year terms. Evaluation Meeting (anticipated) Week of March 31, 2025 Selection Announced (tentative) Week of April 7, 2025 4.1 Preventative Maintenance Preventative maintenance services will be tailored to the facility system being serviced and to be completed by a licensed general contractor in the state of North Carolina. At a minimum, these services will include: 1. Quarterly Preventative Maintenance (PM) on the controls listed in the equipment listing. This is accomplished by providing necessary testing and calibration, identifying defects and potential problem areas, and reducing the likelihood that emergencies will occur. 2. Review operational software and discuss concerns with facilities management. 3. Perform OEM recommended maintenance. 4. Adjust graphics to optimize operation. 5. Verify network communication and network speed. 6. Perform routine online/offline test to determine power and communication restart. 7. Confirm proper time sync for all controllers with workstation where applicable. 8. Verify all stages of heating and cooling come on when commanded and confirm the status of all stages via rise and fall of temperature sensor readings. 9. Verify all PID control process loops are tuned and operating to optimal standards. 10.Save system data, alarm logs and trends on external memory storage device. 11.Service report consisting of system finding and recommended services. System upgrades will be recommended by the vendor and quoted and added to the service by contract amendment.
