This is the main focus of this RFP; the successful bidder shall perform the following services on a weekly or monthly basis, as noted, during the growing season. o Walk through each property before cutting lawns to pickup and remove litter or any impediments. o If material debris is not properly picked up prior to cutting the zone supervisor will call the contractor back and the debris will need to be picked up the same day. o Cut and maintain all grass at a height of 2 1/2 " to 3". o If the mower speed creates an uneven cut the zone supervisor will call the contractor back to re-mow the same day. o String trimming of all sidewalks, driveways, landscape beds, trees, fence lines and all other stationary obstacles as needed to match the new cut grass height giving a neat and clean appearance. o Weed all landscaped beds, perimeters of buildings, sidewalks, driveways and curbs once per month to keep a neat and clean appearance. o Remove grass clippings, and debris from all sidewalks, walkways, driveways, beds, and entrances as work is performed. o Disperse any unsightly amounts of clippings from all areas. There are two dump sites-one at 696 Highland and one at 807 Main Street. Clippings from the three Turnkey sites must be removed and brought to one of the dumping sites. No dumping allowed at any of the Turnkey sites. o Upon completion, appropriate PHA staff will check and approve all work. The contract term is for one (1) year plus four (4) additional one (1) year renewal periods, at the Sole discretion of Executive Director of PHA. Work will only be conducted during the growing and falling season. PHA anticipates it will require seasonal services from April 15, 2025 through December 1,2025. Price changes may be proposed by either party no later than ninety (90) days prior to contract renewal. PHA will allow for one price adjustment per year after the first year of this contract. The adjusted pricing must be submitted to the PHA Procurement in writing along with a justification of the increase. Once submitted PHA will have thirty (30) days to determine if the increase is reasonable. If approved, the new pricing will begin when the contract renewal takes effect. If the increase is not accepted by PHA, the two parties have the option to continue with the contract at the previous seasons pricing or to terminate the contract.
