SCOPE OF WORK 1. The term "work" includes all labor, and materials markup/hourly rates for plumbing repairs, as needed, in additional to the following: 1.1 Contracted through September 30, 2028. 1.2 Contracted to a single, primary contractor. 1.3 The vendor ranking will be based on price for hourly rate, after-hour rates, emergency rates, price mark up on materials/supplies. 1.4 Response time for both normal business hours and after-hours shall be a maximum of 2 hours. 1.5 Any individual repair/maintenance cost exceeding $2,000.00, vendor must consult Facilities management and receive written approval before proceeding with repair. 2. SUPERVISION AND LABOR 2.1 Supervision: The Contractor is responsible for all personnel and supervision required for performing work in accordance with these specifications. Supervision will be required for all working hours of the contract. The Contractor and its employees must comply with all City regulations. The Contractor understands that all planning, coordinating, and implementation of the desired services shall be done through personal contact between the Contractor and City Representative. Contractor will notify the City Representative (via email, text, fax, phone or in person), when the specified scheduled services are fully completed. This will allow the City Representative to inspect for full contract compliance and authorization for scheduled payments. City-approved representatives of the Contractor shall be available to meet with the City Representative as required to accomplish the City's objectives. 2.2 Contractor's Employees: All personnel must be visible as Contractor's employee(s) by uniform and/or badge while on City of Gainesville property. The Contractor's work force shall be neat and clean in appearance and shall wear identification. Identification shall include the employee's name and company name. 2.3 Subcontractor: The Contractor is not permitted to use subcontractors in performing any services related to these specifications unless the Contractor obtains prior written approval from the City Representative or is approved during the bid process. 2.4 Approval by the City does not make the City a party of such subcontract or subject to the City liability of any kind to any subcontractor. No subcontractor will, under any circumstances, relieve the Contractor of its liability and obligation under this contract; and despite any such subletting, the City shall deal through the Contractor. Subcontractors will be dealt with as employees and representatives of the Contractor, and as such shall be subject to the same requirements as are other employees of the Contractor. 3. COMPLETION AND INSPECTION The contractor shall notify the City's designee upon completion of each assigned work/repair for inspection. Notification should occur within 24 hrs. of completion or payment may be delayed. The City's representative shall inspect the contractor's completed work following notification by the contractor. Payment may be delayed or withheld if the maintenance services have not been completed in accordance with the contract or in their entirety. The City's representative will notify the contractor if there is a deficiency that requires correction before payment will be made. Services that are not performed according to the schedule may result in liquidated damages at the discretion of the City of Gainesville. 4. INVOICING Awarded contractor shall submit itemized invoice with City building, contacted rate, and total hours. All invoices must be submitted within ten (10) days of completion of work. City of Gainesville will compensate contractor for the full and faithful performance of the Contract by the sums due upon verified invoice(s) within forty-five (45) days of receipt by Electronic Funds Transfer (EFT). 5. TERM The term of this project will end September 30, 2028.
