Establish a Term Contract With One Vendor for Quarterly Grease Trap Cleaning. The purpose and intent of this solicitation is to establish a term contract with (1) one qualified vendor to provide quarterly Grease Trap Pumping Services at (2) locations, Deerfield Correctional Center, 21360 Deerfield Drive, Capron, VA 23829 and Deerfield Men's Work Center 2, 15080 Old Belfield Road, Capron, VA 23829 in accordance with the following Scope of Work/Specifications and General Terms & Condition. A. The Contractor shall 1. Provide all labor, supervision, equipment, tools, transportation, licensing, permits (as needed), materials and supplies necessary to service and maintain (1) - 5,500 gallon grease trap at Deerfield Correctional Center (QUARTERLY). This grease trap is located behind our Food Service Building. 2. Provide all labor, supervision, equipment, tools, transportation, licensing, permits (as needed), materials and supplies necessary to service and maintain (1) - 500 gallon grease trap at Deerfield Men Work Center II (QUARTERLY). 3. Shall ensure that their employees are qualified to operate all equipment necessary to perform the work in a safe and expeditious manner and they comply with all security regulations of this facility when they are on site. B. Quarterly pumping shall be performed only on the grease traps designated by the Contract Administrator. The Contract Administrator may choose to exclude any of the grease traps from pumping per quarter. The Contractor must only invoice for the actual grease traps that are actually pumped/completed. C. Emergency service calls shall be responded to within 24 hours of notification of services needed. No overtime will be paid during these requests. The Contractor shall bill the Agency the hourly rate submitted on the bid submission for Emergency Services not covered in the Scope of Services (See Attachment A: Price Schedule, Line Item #5). A purchase order will be issued to cover any emergency services. D. All work shall be coordinated with the Deerfield Building & Grounds Department. The Contract Administrator is Roger Parson, B & G Director, 434-658-3636 (Work) or 434-594-1288 (Cell). Mr. Parson shall be contacted two (2) days prior to scheduling the pump service. E. The Contractor is responsible for ensuring compliance with all applicable laws and regulations regarding disposal, treatment, highway transportation, and any additional requirements affecting the removal of these recyclable materials. RENEWAL OF CONTRACT: This contract may be renewed by the Commonwealth for (one year)/(four successive one year periods) under the terms and conditions of the original contract except as stated in 1. and 2. below. Price increases may be negotiated only at the time of renewal. Written notice of the Commonwealth's intention to renew shall be given approximately 90 days prior to the expiration date of each contract period. If any prospective (bidder/offeror) has questions about the specifications or other solicitation documents, the prospective (bidder/offeror) should contact the buyer whose name appears on the face of the solicitation no later than five working days before the due date. Any revisions to the solicitation will be made only by addendum issued by the buyer.
