Request for Proposals Audio/visual/ Communications Upgrade for City Hall Conference Room Requisition the City of Foley is Soliciting Request for Proposals (Rfp's) for the Renovation of the Conference RoomLocated at Foley City Hall, 407 East Laurel Ave, Foley, Al 36535. The Conference Room Renovation Project Aims toModernize and Optimize the Existing Conference Room to Facilitate Seamless Communication, Collaboration, andProductivity Among Its Employees, Citizens, Partners, and Stakeholders. The Renovation Will Encompass Upgradesin Unified Communications, Audiovisual (Av) Technology, Furniture, Lighting, and Overall Aesthetics to Create aState-of-the-art Meeting Space That Aligns With Foley's Vision and Values. To Be Eligible for Consideration, Rfp's Must Meet AllRequirements Contained in the Request for Proposal (Rfp) Package. It Shall Be the Sole Responsibility of theCompany Submitting an Rfp to Assure Receipt of the Rfp at Foley City Hall Prior to the Published Time. Question Deadline 05/08/2025 Scope of Work The following provides details of the scope of services required under this contract. Respondents to this RFP should build on this general description by proposing a scope of work with specific sub-tasks as deemed appropriate which allows the agencies AV support needed to accomplish the requirements set forth in the RFP. Respondents should also refer to the Proposal Requirements, and Evaluation and Selection Process sections for additional requirements. Additional tasks and work elements may be added or deleted during contract negotiations. Upon conclusion of the negotiation process, the selected consultant will be required to prepare a final work plan, schedule, and budget for inclusion into a final contract. If additional tasks are identified, the contract may be amended in the future. Current AV Aspects and Conditions The conference room is already equipped with some audio and video capabilities, including flush-mounted speakers in the ceiling, a projector and screen, Clickshare dongles, and a Logitech Rally Conference Camera System, which are used as the presentation system for the room. Respondents may choose to incorporate these existing capabilities into their proposals, but it is highly preferred that old equipment be replaced with newer technology. It is also preferred that any equipment currently housed in the existing cabinet in the northeast corner of the room be relocated to the nearby network closet/copy room where feasible and still practical for operation of the system. We do not have a standardized UC platform (e.g. Teams, Zoom, Meets, etc.) and we try to be platform agnostic and work with all of the different available meeting applications. In regards to the current calendar/scheduling platform, the city subscribes to Google Workspace Enterprise so we do prefer Google Meets and our scheduling is handled in Google Calendar. AV & UC Technology Package The City desires to move forward with Q-SYS products/solutions for audio/visual implementations. A diagram is provided on page 8, for reference only, as a suggestion for a possible system configuration. All proposed AV systems should include Q-SYS compatible components wherever possible and consider the following criteria: Inclusion of at least one high-definition or 4K compatible interactive smart board or other screen for presentations and digital white boarding.
