Tree Trimming Services by Shoulder Mile- Fredericksburg District The Virginia Department of Transportation herein referred to as "VDOT" is soliciting bids from interested firms to perform by the shoulder mile tree trimming, small tree removal and brush removal by the shoulder mile in accordance of the performance specifications herein, within the Fredericksburg Residency including the counties of Caroline, Spotsylvania and Stafford. SCOPE OF WORK: The Contractor shall furnish all supervision, labor, equipment, fuel, and traffic control, to include all equipment and flaggers as required per the most recent version of the Virginia Work Area Protection Manual (VWAPM) and any other incidentals necessary to meet the requirements stated within. The work shall consist of tree pruning, small tree removal and brush removal along with the disposal of all generated debris for the purpose of enhancing safety for the public. Roadway shoulders shall include up to 4 sides (medians) on divided highways. The Contractor shall be capable of commencing work within ten (10) calendar days of award of this IFB. On each succeeding call the Contractor shall begin work within fourteen (14) days of this award and shall work consistently until released from that event, unless a different reporting time is mutually agreed upon. Work Request completion dates shall be one calendar day for each one tenth of a mile ordered. The contractor shall provide a continuous operation until the completion of the work request unless released by the Contract Administrator. Any release authorization shall be provided in writing via email. Awards will be made on a Grand Total basis. PERIOD OF CONTRACT: One year from date of award with four (4), one (1) year renewal options Question Deadline 06/23/2025 Any questions regarding this invitation for bid shall be submitted in writing to nasir.chhipa@vdot.virginia.gov. The issuing office shall determine whether any addendum should be issued as a result of any questions or other matters raised. The Commonwealth will make the award(s) on a Grand Total basis to the lowest responsive and responsible bidder. The purchasing office reserves the right to conduct any test it may deem advisable and to make all evaluations. The Commonwealth also reserves the right to reject any or all bids, in whole or in part, to waive informalities and to delete items prior to making the award, whenever it is deemed in the sole opinion of the procuring public body to be in its best interest. Any bidder who enters $0, No Bid, N/A, on a pricing blank or leaves it blank may be considered nonresponsive. Due to the importance of all bidders having a clear understanding of the specifications/scope of work and requirements of this solicitation, attendance at this pre-bid conference will be a prerequisite for submitting a bid. Bids will only be accepted from those bidders who are represented at this pre-bid conference. Attendance at the conference will be evidenced by the representative's signature on the attendance roster. No one will be admitted to join the conference after 10:05 AM EST. Have a copy of the solicitation with you; copies will not be provided by the Contract Officer. Any changes resulting from this conference will be issued in a written addendum to the solicitation.
