St Lawrence College is issuing this Request for Proposal (RFP) to engaged qualified Audio-Visual contractors to design and implement a scalable, standardized AV system across its Brockville, Cornwall, and Kingston campuses. This initiative aims to modernize classroom environments and support advanced flexible learning methodologies. The AV solution must seamlessly integrate with Microsoft Teams and our Learning Management System (LMS), Blackboard Collaborate Ultra. The solution must deliver professional-grade audio and video, along with intuitive control systems that support flexible, high-quality learning experiences. This AV design will serve as a model for campus-wide standardization, ensuring consistency and reliability across learning spaces. The project will be two phases ; Phase 1 is the pilot phase and Phase 2 will follow successful completion and evaluation of Phase 1. The contract shall be two (2) phases; Phase 1 will be the pilot phase and is expected to span a period of 3 months from the date of award; The installation of stage (Phase 1) must be completed no later than October 17, 2025 while the evaluation stage (within Phase 1) will span for four (4) weeks from the date of initial completion and must be completed before November 28,2025. This phase will include deployment, testing, and refinement of AV systems in the selected Cornwall and Kingston Classrooms. The goal of Phase 1 is to validate system performance, integration, usability, and support models prior to broader rollout. Phase 2 will follow successful completion and evaluation of Phase 1; Phase 2 will be a contract of three (3) years term. The College is not under obligation to proceed to Phase 2 if Phase 1 is not satisfactory implemented. Phase1 pilot implementation will include one room in Kingston and one room in Cornwall. Phase 2 will cover the broader deployment and support of multiple new classroom AV system upgrades across all campuses. The phase 2 will also include ongoing coordination, installation, and optimization efforts aligned with institutional priorities and scheduling. Contractors shall provide a full AV solution, including: o Conceptual wiring diagrams o Provide reflected ceiling plans for all installed audio-visual equipment. Drawings must clearly indicate: o Equipment mounting locations o Required electrical outlets o Data drop locations (network cabling and types) o Conduit paths and sizes (if applicable) o Any coordination notes relevant to ceiling structures (e.g., T-bar, drywall, hard-lid, plenum access). o Provide elevation drawings for all installed audio-visual equipment. Drawings must include: o Equipment mounting heights and alignment o Wall backing requirements (type, dimensions, and location) o Electrical outlet placement and circuit specifications o Conduit sizing and routing o Data drop locations, types, and termination details o Detailed technical documentation o Complete Bill of Materials o Compliance with Audio Visual and Integrated Experience Association (AVIXIA) standards o Qualified staff (AVIXIA CTS, CTS-D, CTS-I certified) o On-site labor and logistical support o Clean and code-compliant installations o Any required labor and logistical support to have large items, such as displays, moved into the project space Question Acceptance Deadline: 2025/07/16 12:00:00 PM EDT Official bid documents must be obtained from www.merx.com.
