The Housing Authority of the City of Tulsa (THA) and its subsidiary Affordable Housing Property Solutions, Inc. (AHPS), invites proposals for a Contractor to provide Janitorial Services. The contractor shall furnish all work, services, materials, and related items necessary to complete the work specified. The work includes, but is not limited to, the following: 1) Work Covered a) Work of this Contract shall be comprised of janitorial services, in compliance with Housing Quality Standards and other property maintenance as requested by THA / AHPS Property Management. b) Expected annual contract work shall consist of, but is not limited to, the following needs: routine cleaning of multiple spaces, including floor sweeping, mopping, window cleaning, dusting of furniture, vacuuming, and trash removal. Pricing for services stated shall be agreed upon in writing, and approved, prior to any work being completed. c) Contractor shall furnish all necessary labor, materials, equipment, and proper insurance for the completion of all work per specifications. d) Contractor shall visit the site(s) and thoroughly acquaint him/herself with all conditions incidental to completion of the work specified. Failure to inspect or to include in the bid all of the work specified will not relieve the Contractor of complying with these specifications in their entirety and performing all the work specified for the sum as shown in Article 6. 2) Scheduling a) General: Once a quote is requested and approved, Contractor will be asked to maintain an agreed schedule, as detailed in the Purchase Order. THA/AHPS will expect fulfillment of JANITORIAL service needs during the specified Purchase Order terms, in which work shall be performed. b) Exceptions: Adverse Weather Conditions: In the event of inclement weather, on any scheduled workday, as agreed upon between the Contractor and the THA / AHPS Job Representative, Contractor shall immediately cease any and all services and contact the Site Manager to determine whether services should be continued. The Affordable Housing Management only, shall have authority to make this determination. Should Property Manager determine service should be discontinued, the Property Manager and Contractor shall, at that time, mutually agree as to a date work will be rescheduled. CONTRACTOR(S) selected under this RFP will be qualified and procured to receive a Purchase Order(s) from THA / AHPS to provide work within the scope of services over a five (5) year period subject to performance reviews. The Office of Contracts reserves the right to reject any or all Responses.
