HVAC Refrigerant and Related Supplies The City of Pasadena, Department of Public Works (Building Systems & Fleet Management Division) is seeking bids from qualified vendors to supply HVAC refrigerant and related supplies for ongoing maintenance and repair of municipal heating, ventilation, and air conditioning systems. The selected vendor will provide products that meet all relevant standards and specifications as outlined in this document. The goal is to ensure that all HVAC systems operated by the City are functioning efficiently and in compliance with environmental regulations. Question Submission Deadline:August 20, 2025, 2:00pm The City reserves the right to change any part of these Instructions to PROPOSERS and Specifications any time prior to Deadline for Submissions. Any changes shall be in the form of addenda and will become a part of the Proposal documents and of the contract. Bidders must provide all required information for the City to verify the bond with their bid. The bond must meet the following requirements and characteristics: Bid security in the amount of five percent (5%) of the total bid price in the form of a redeemable or callable electronic surety bond, meeting City requirements, must accompany all bids. During the question and answer period for this solicitation (HVAC Refrigerant and Related Supplies; 2025-Informal-0403), the City reserves the right to determine whether equivalents meet the bid specifications of the City, and are equal to the manufacturer specified or the stated technical specifications. The decision of the City regarding equality shall be final. Upon award of contract, City Staff reserves the right to request warehouse and inventory verification items, included but not limited to: warehouse tours in-person or by video, proof ownership or lease; warehouse location and capacity; warehouse system generated report of stock dated with items matching bid specs.
