The City of White House, TN, is soliciting qualified contractors to submit a lump-sum bid for the re-roofing services of two vacuum sewer stations: the Calista Vacuum Sewer Station located at 349 Calista Rd, and the North Palmers Vacuum Sewer Station located at 108 Brookview Dr. The selected contractor will be responsible for the complete removal and replacement of the roofing systems, ensuring compliance with applicable standards and requirements. Additionally, bidders shall include a unit price for the replacement of damaged or rotten wood nailer along the roof perimeter, should such repairs be necessary. Obligations assumed by such signature must be fulfilled. Bid documents that are unsigned will be classed as irresponsible offers and will not receive any consideration. State brand or make on each item: if quoting on other than make, model or brand specified, the manufacturer's name and catalog number must be given, or descriptive cut and complete technical data covering the item attached to the quotation. The CITY OF WHITE HOUSE reserves the right to reject any or all bids or accept any presented which meet or exceed these specifications, and/or which would be in the best interest of the City and will not necessarily be bound to accept the lowest bid. Bid Bonds are required on all City contracts. Bid Bonds will be considered waived if not specifically called for on the Bid Call. A pre-bid meeting is not being held for this procurement. 1.8. Completion Time Each bidder is required to list on the Bid Form the number of calendar days they expect the project to be completed at the destination in terms of time interval following notice to proceed. If time varies on different items, the bidder shall so state the delivery time for each item. Failure to include a specific number of calendar days may be sufficient grounds for rejection of proposals. 1.9. Selection of Vendor(s) In comparing the bids and proposals and making awards, the City may consider such factors as quality and adaptability of services, the bidder's record of experience and integrity and performance assurance in addition to that of the bid price. The City reserves the right to cancel this order, or any part thereof without penalty. 1.10. Payments Vendor is to submit properly completed invoice(s) to the address specified on the purchase order. To insure prompt payment each invoice should cite the purchase order number, bid number, project description, unit and total price, discount terms and include the vendor's name and return remittance address. Payment will be mailed within thirty (30) days of: the receipt and acceptance of the items, including all paper work and receipt of a properly completed invoice. The City of White House is exempt from Tennessee State Sales Tax. An exemption certificate will be furnished at the request of the successful vendor. Service Requirements The contractor will be required to fulfill the following service requirements: Complete all work in a timely manner as specified in the contract. Conduct a pre-construction meeting with City personnel to review project scope, specifications, and safety protocols. Implement all necessary safety measures to protect workers and the public during the roofing project. Ensure minimal disruption to the surrounding area during construction and take necessary steps to manage noise and debris. Conduct all work in compliance with environmental regulations and best practices. After completion, conduct a final inspection with City personnel to ensure compliance with specifications and standards before final payment is issued. Provide maintenance instructions and recommendations upon project completion. 2.4. Delivery Requirements The following delivery requirements must be adhered to during the project: All materials must be delivered to the appropriate job site and be stored in a secure manner to prevent damage or theft. Products must be of the right quantity and quality as specified in the contract. The contractor is responsible for inspecting all deliveries and ensuring they meet the outlined specifications. Delivery timelines must be coordinated in advance and confirmed with the City of White House to align with the project schedule. Any delays in delivery must be communicated to the City as soon as they are known, along with proposed mitigation strategies to maintain project timelines. All packaging and waste from materials must be disposed of in accordance with local waste management regulations. 2.5.
