The City of Alameda Public Works Department is seeking a bidder to provide on-call mechanical maintenance services for approximately 76 City-owned facilities. The scope of work includes routine and on-call services such as responding to service requests (including emergency and non-emergency repairs), troubleshooting, diagnosing, and repairing HVAC systems, boilers, chillers, cooling towers, pumps, fans, motors, compressors, and associated controls. It also includes inspection, servicing, and repair of air handling units, variable air volume (VAV) boxes, dampers, ductwork, maintaining belts, filters, bearings, coils, and related components; maintaining and repairing pneumatic, electronic, and digital control systems including building automation systems; and supporting energy efficiency upgrades, retrofits, and compliance corrections. Preventive maintenance duties involve scheduled servicing of HVAC and mechanical systems, seasonal start-up and shutdown, testing and calibrating thermostats, sensors, and control systems, and documenting and reporting deficiencies or safety concerns. The contractor must provide 24/7 emergency response capability with a two-hour response for emergencies, offer temporary repair solutions, assist with safe-off or isolation of equipment, provide temporary ventilation or mechanical adjustments, coordinate system reactivation and verification, and follow all lockout/tagout and OSHA safety procedures. Additional services include assisting with installation of new equipment, performing minor improvements or modifications, coordinating with utility providers, and ensuring safe work practices and documentation. Proposals must be submitted electronically in PDF format to the specified email address, with the RFP name in the subject line, and proposers must respond to an automated acknowledgment message to confirm receipt and release the email from the City’s spam filter. Proposers are responsible for confirming receipt and reviewing any addenda.
