Contractor provides all labor, equipment, tools, materials, and parts necessary to administer a preventive maintenance program and repairs, including but not limited to filters, gaskets, engine oil, cooling system anti-freeze and additives, as part of the preventive maintenance annual service at no additional cost. Contractor must furnish a qualified mechanic with a minimum of 5 years experience in engine and panel work to service and repair the specified generators without voiding the warranty. Contract includes all deductibles for diagnosis of faults and failures for listed systems. Contract includes Caterpillar and Cummins equipment: 1. Caterpillar 3516 in Powerhouse #1, serial #A4Y00224 2. Caterpillar 3516 in Powerhouse #2, serial #A4Y00223 3. Cummins 300kw @ STP, serial #dqhab-6125517 All environmentally impactful materials removed must be disposed of according to state and federal laws at no extra cost. Contractor must install software updates and revisions when available at no extra cost. Regular servicing is to be performed during weekday daylight working hours (0730-1530, excluding holidays except in emergencies). Emergency services are to be provided within four hours of notification, as determined by the Facilities Maintenance Manager or designee. All-inclusive preventative maintenance service to be performed annually and mutually scheduled; semi-annual generator inspections required. Contractor must provide a complete report following servicing, including equipment condition and repair recommendations. All replacement parts must be original or of approved equal quality and function. Contractor will assist in training Central Plant personnel as needed. Detailed step-by-step services are specified for engine, cooling system, fuel system, and electrical system maintenance and inspection. Service technicians must provide a detailed work order, which will require the signature of an institution representative prior to leaving the premises. The work order must include detailed information on services performed for each unit. Payment of monthly invoices will be withheld until such documentation is submitted. The fixed rate charge is total and final; the Commonwealth will not pay additional sums beyond the service order price. There are to be no charges for travel, accommodations, mileage, or other indirect costs. A site visit is recommended for contractors not previously bidding or unfamiliar with the facility but is not mandatory. Bids must be submitted electronically; paper bids are not accepted. The department reserves the right to request references for similar work performed in the previous five years. Vendor registration is required. Awarded contracts will be posted online. Contract is a one-year assured maintenance and emergency response/repair service for emergency generator systems, with 24/7 coverage for emergencies and routine service during normal business hours. The contract can be renewed for four additional years, and price increases for renewal years may not exceed 3%.
