The purpose of this Request for Proposal (RFP) is to solicit competitive proposals from qualified contractors to provide comprehensive hardwood floor maintenance and minor repair services for approximately 17 district facilities for Canyons School District (CSD). The selected contractor will maintain various hardwood floor surfaces, including gymnasiums, dance studios, auditorium stages, and middle school kiva spaces. Total floor areas range from 1,000 to 30,000 square feet per location, with gymnasium floors typically measuring 15,000 to 30,000 square feet and stage, dance floors, and kiva floors ranging from 1,000 to 5,000 square feet. This contract encompasses routine annual maintenance, periodic full sand and refinish services, and minor repairs as needed. The contractor will be expected to maintain all hardwood floor surfaces to professional standards while minimizing disruption to educational activities. New floor installation is explicitly excluded from this contract scope. This RFP is designed to provide interested contractors with sufficient basic information to submit proposals meeting minimum requirements, but is not intended to limit a proposal's content or exclude any relevant or essential data. All proposal preparation costs and any associated activities related to this RFP are the sole responsibility of the contractor. This agreement shall commence on the date of the RFP award by the Board of Education and continue for one (1) year. Each bid must include an option whereby CSD, at its sole discretion, can extend the contract annually for up to four (4) additional years with the same terms, prices, and conditions set forth in this document and/or as negotiated between the successful supplier and the Procurement Officer. The option shall be exercisable at the end of the first year. If the option is not exercised, then the contract shall automatically expire at the end of the contract term. Notice of exercise of the option must be given at least thirty (30) days prior to the end of the contract term. CSD reserves the right to reject the low bid if the products bid are not equal to or better than the items listed on the Price Schedule and/or are not acceptable in appearance, durability, and performance (applicable if samples are requested and evaluated). Pre-Bid Meeting Details: Failure to attend shall result in the disqualification of any vendor that does not have an authorized representative present for the entire duration of the pre-solicitation conference or site visit. Please arrive early or on time to the pre-bid meeting. The meeting will start promptly at the indicated time. Those who arrive late will not be permitted to sign the attendance sheet and participate in the contract opportunity.
